Job Description

SUMMARY:
The Client Services Representative is responsible for supporting clients by providing an allinclusive comprehensive customer service experience that encompasses advanced support for issues with deliverables and client requests answering a wide array of questions that range from general to specific about billing product and services. The CSR demonstrates excellent customer relations and achieves a high level of quality results in a timely and efficient manner.

ESSENTIAL FUNCTIONS:

  • Handle incoming requests from customers regarding corporate services ensuring that issues are resolved both promptly and accurately to achieve first contact resolution.
  • Responds to and resolve incoming client and affiliate requests queries issues and concerns via phone and email.
  • Make daily runs to the Secretary of State and other government agencies as needed.
  • Responsible for corporate filings including but not limited to the preparation review and filing of: Articles of Incorporation/Organization amendments fictitious business name/assumed name filings newspaper publications annual reports mergers and conversions withdrawals and dissolutions preclearance documents tax clearance reinstatements and revivals.
  • Responsible for obtaining certificates of status with both the state and revenue departments conducting name availability and status searches producing verbal bringdowns filing and tracking name reservations and registrations as well as obtaining copies of miscellaneous public record documents.
  • Responsible for the preparation review and filing of various UCC/lien filings conducting UCC/lien/litigation/bankruptcy searches and copy retrievals handling county recordings and other searches and processing corporate document retrieval requests related to UCC requests.
  • Any other duties as assigned.

COMPETENCIES SKILLS AND ABILITIES:

  • Ability to prepare routine administrative paperwork.
  • Ability to gather organize analyze and compile data.
  • Knowledge of general corporate procedures and/or willingness to learn.
  • Knowledge of the Uniform Commercial Code and/or willingness to learn.
  • Ability to multitask and effectively handle multiple timesensitive projects.
  • Ability to work both independently and in a team environment.
  • Effective communication (verbal and written) and relationship building skills.
  • Must be very detailoriented with strong organizational skills.
  • Must be very dependable
  • Ability to be selfdirected and work efficiently with minimal supervision.
  • Exceptional phone etiquette and professional demeanor.
  • Must be computer literate; Intermediate level skills with MS Office; Word Excel and Outlook are required.

EDUCATION / EXPERIENCE:

  • Associate degree or equivalent preferred. Minimum 2 years experience in customer service or legal industry
  • Basic legal paralegal or document preparation/editing procedures and/or willingness to learn.
  • Constantly strives to achieve excellence in daytoday operations of respective department.
  • Works collaboratively with all members of management to resolve departmental and organizational challenges expeditiously economically professionally and with minimum disruption to the practice.
  • Team player approach.

SUPERVISORY RESPONSIBILITIES:

This role is not a supervisor position.

LANGUAGE SKILLS:

Ability to effectively present information and respond to questions from internal and external customers whose first language is English.

While performing the duties of this job the employee regularly works in an office environment in a clerical environment. This role routinely uses standard office equipment such as computers phones photocopiers and filing cabinets.
