SENIOR ASSOCIATION COORDINATOR
GENERAL SUMMARY
We are seeking a professional with a natural customer service orientation who enjoys both interacting with others (including by phone) and engaging in detailed work. If that sounds like you read on and consider joining and growing with Etherio and our fantastic association clients!

The Senior Association Coordinator plays an integral role in the Etherio Association Management team providing support to the client team members and the Board of Directors through coordinating organizing and implementing the efforts of the client. Youll manage membership data and serve as the first point of contact for member relations our Chief First Impressions Officer. Were looking for someone with high energy excellent people skills and a great work ethic.

Youll execute the associations communication strategy (sending emails and managing social media) and assist in membership recruitment and retention initiatives. The person in this role provides support to those leading event management. Meeting timelines for multiple tasks is key. They play a vital role in executing our clients goals and objectives in alignment with the vision established by the client Board of Directors.
ESSENTIAL FUNCTIONS
Association Management Support
  • Build strong client relationships through timely and professional interactions attentive detail in handling requests and demonstrating exceptional customer service.
  • Serve as staff liaison to volunteer committees taking notes and following up on action items in a timely manner.
  • Provide tracking reports (weekly monthly etc. for both internal and external customers.
  • Provide administrative and project support.
  • Support the overall goals and objectives of the association through additional responsibilities as required.
  • Provide input into client and Association Management operations processes procedures and policies.
Membership
  • Handle member inquiries and requests serving as a primary contact for a clients phone email and online membership presence.
  • Maintain the membership database and ensure the accuracy of its content.
  • Manage the member renewal and recruitment processes communications and reporting.
  • In partnership with accounting ensure all payments are processed and properly recorded in the membership database.
  • Provide membership analytics for board and committees.
Event and Registration Management
  • Maintain and support webbased event and registration systems.
  • Provide support for registration and membership services.
  • Maintain registration history documentation and compile registration reports for each event.
  • Use association management software to compile invoices and finalize database wrapup.
  • Lead registration efforts for annual conference.
  • Support association committees dedicated to events.
MINIMUM QUALIFICATIONS
  • 14 years of administrative support experience.
  • Excellent customer service skills.
  • Proficient in Microsoft Office (Word Excel and PowerPoint).
  • Strong ability to learn new software.
  • Ability to produce professional written communications.
  • Attention to detail.
  • Ability to meet timelines for multiple tasks.
  • Organized approach to the management of multiple projects and priorities.
PREFERRED QUALIFICATIONS
  • Bachelors degree.
  • Prior experience working for an association or other nonprofit membership organization.
  • Experience with website management or association management systems and registration systems.
  • YourMembership and MailChimp experience preferred.
  • Experience managing and executing events both virtually and inperson.
WORKPLACE LOCATION REQUIREMENTS
This position is based in our Atlanta office with a combination of remote and inoffice presence.
TRAVEL REQUIREMENTS
Ability to travel to support client events up to four times per year.

SCHEDULING REQUIREMENTS
Requires flexibility in scheduling such as the ability to work occasional evenings and weekends to meet client event or company needs.

  • Must be able to remain either in a stationary position most of the time (such as when working in the office) while also being able to stand and/or move for the majority of the time (such as when executing events onsite).
  • Need to lift carry push or drag boxes or equipment up to 30 lbs.
  • Frequently moves inside the office to access file cabinets office machinery etc.
  • Need to adapt and function in various physical settings (for example conference centers indoor and outdoor spaces).
  • Occasionally required to position self in a stooping kneeling or crouching manner.
  • Frequently required to use hands or fingers handle or feel objects tools machinery and computers.
  • Frequently communicates with others and must be able to exchange accurate information in these situations.
  • Frequently operates a computer and other electronic equipment.
  • The noise level in the office work environment is usually low to moderate while event environments may be moderate to noisy.
