Position Overview:
The Transport Coordinator will oversee all aspects of transportation logistics working with internal teams and external partners to ensure that deliveries are completed on time and in line with company standards. The ideal candidate will demonstrate strong leadership excellent communication and an ability to manage and optimize transport processes. They will be instrumental in ensuring that all transport activities align with operational goals and meet client expectations.

Key Responsibilities:

• Arrange Trucks/Transport for Containers:
  • Plan and arrange loads for the next day to ensure all necessary transport is secured.
  • Plan and arrange sameday loads when necessary.
  • Arrange transport for imports ensuring timely delivery.
  • Allocate transporter on NAV (Network Allocation Vehicle) and forward the Container Transport Order (CTO) and instructions to transporters.
  • Arrange templates for transporters to ensure smooth operational flow.
  • Forward relevant information to the clearing agent for crossborder loads.
  • Send and discuss rolling plan with different transporters.
  • Follow up and communicate any changes to relevant parties and ensure timely updates.
• Operational Coordination and Communication:
  • Ensure that the system is updated with the current days loads and provide progress reports at 09:00 12:00 and 16:30 daily.
  • Sort out any problems for the current days loads and keep the Logistics (Logs) team informed.
  • Resolve issues for the next days transport and ensure smooth scheduling.
  • Review and reconcile the rolling plan ensuring no missed loads.
  • Ensure that any deviations are captured in the system and reported within 24 hours.
• Handling Queries and Rearranging Transport:
  • Handle and resolve queries from internal teams and external parties.
  • Rearrange transport/trucks as required ensuring that all shipments are efficiently handled.
  • Arrange plugins if the port experiences windbound delays or for preloading ensuring system updates are made accordingly.
  • Arrange crosshauls for containers that are plugged in ensuring no short shipments occur.
• Reporting and Monitoring:
  • Update current day loads and ensure timely communication with relevant teams.
  • Regularly update and maintain reports on logistics status ensuring no missed or delayed shipments.
  • Provide regular reports to management and other relevant stakeholders to ensure smooth operations.

Key Deliverables (Tasks):

• Ensure all loads for the next day are arranged and communicated to relevant parties.
• Ensure containers are loaded onto the vessel as scheduled.
• Timely allocation of transporters and provision of instructions to transporters.
• Timely arrangement of transport for imports including relevant documentation forwarded to the clearing agent.
• Accurate and consistent rolling plan updates shared with transporters.
• Resolution of any transportrelated issues for the current day with regular updates to the Logs team.
• Efficient problemsolving for nextday loads to avoid any delays or issues.
• Maintain no missed loads ensuring timely coordination and clear communication.
• Ensure all deviations are captured in the system within 24 hours.
• Timely rearrangement of transport/trucks to accommodate any lastminute changes or issues.
• Ensure no short shipments occur by closely monitoring transport and shipment progress.

Measurement (Reports):

• Daily Progress Reports: Updates on loads and shipments sent out at 09:00 12:00 and 16:30 daily.
• Rolling Plan Reconciliation: Monitor and ensure no missed loads.
• Deviation Reporting: Ensure all deviations from the standard process are captured in the system within 24 hours.
• Query Resolution: Timely and efficient handling of transportrelated queries.
• Efficiency Reports: Monitoring transport issues to avoid delays ensuring the accurate scheduling and rearranging of transport.

• Solid knowledge of the fruit industry and shipping line activities ensuring that logistics processes meet specific industry standards.
