The Facilities Coordinator plays a critical role in supporting the daily operations of facility management. This role involves managing work orders handling service desk support coordinating with vendors and assisting with reporting and administrative tasks. The ideal candidate is detailoriented organized and capable of handling multiple responsibilities in a dynamic environment.
Process and prioritize incoming work orders using the CMMS platform
Maintain accurate data and ensure data integrity for all requests
Monitor work order status and follow through to completion
Coordinate scheduling and completion with vendors and contractors
Act as the first point of contact for all facilitiesrelated service requests
Handle inbound calls and service requests with professionalism
Provide firstlevel support and escalate issues as needed
Keep stakeholders informed on request status and resolution timelines
Assist the Director with daily weekly and monthly reports
Compile data for executive summaries and performance tracking
Create presentations and documentation to support facility initiatives
Ensure accurate recordkeeping of all facility activities
Process purchase orders in a timely and accurate manner using internal systems
Assist with monthly accruals and maintain financial trackers
Support budget adherence and cost control efforts
Perform routine site inspections to ensure facility standards
Promote adherence to safety regulations and building protocols
Participate in property risk management programs
Maintain facility cleanliness and functionality
Schedule and oversee vendor and contractor activities
Monitor performance and ensure compliance with standards
Assist in sourcing and procuring external services
Contribute to planning and of special projects and events
Help track project milestones and deliverables
Ensure proper project closeout and documentation
Proficient in Microsoft Office Suite (Word Excel Outlook)
Experience with CMMS and financial management software preferred
Strong written and verbal communication skills
Excellent organizational time management and multitasking abilities
Ability to work independently and collaboratively
Positive proactive attitude and strong attention to detail
Comfortable working in a fastpaced and dynamic environment
