Role Overview:
We are seeking a proactive and detailoriented Executive Assistant to support our internal teams. The ideal candidate will excel in calendar and inbox management meeting coordination and followup activities. This role will focus on internal support by attending meetings taking notes and summarizing key points without clientfacing responsibilities. Backgrounds in project coordination paralegal work or project management are highly desirable.
Key Responsibilities:
- Administrative Support:
- Manage calendars and inboxes for executives ensuring optimal scheduling and prompt followup of action items.
- Coordinate and schedule meetings both virtual and inperson with clear agendas and objectives.
- Project & Task Coordination:
- Assist with light project management tasks by tracking milestones deadlines and deliverables.
- Ensure effective communication and followup on meeting outcomes and internal initiatives.
- Collaborate with team members to streamline internal processes and document procedures.
- Internal Collaboration:
- Act as a liaison between departments to facilitate smooth information flow and coordination.
- Support internal events and teambuilding initiatives that enhance regional and local connectivity.
- Maintain confidentiality and handle sensitive information with discretion.
Qualifications:
- Experience:
- Proven background in administrative support project coordination paralegal functions or project management.
- Demonstrated ability to manage complex calendars inboxes and meeting logistics efficiently.
- Skills:
- Excellent organizational skills and attention to detail.
- Strong written and verbal communication skills to produce clear meeting summaries and internal documentation.
- Proficiency in common office software and digital communication tools.
- Ability to adapt quickly to changing priorities and maintain composure under pressure.
