TheUniversity of Ottawa Students Union(UOSU) is the official student government of undergraduate students at the University of Ottawa with a mandate to represent the interests of students and provide essential services on campus. Together elected student leaders and dedicated administrative staff work to improve the academic and social lives of students at the University of Ottawa.
Job Description
The UOSU is looking for a Clerk for its Board of Directors!The Clerk will take meeting minutes support Committee Chairs and complete other administrative tasks during monthly meetings of the UOSU Board of Directors as well as many of the Boards Committees.
Responsibilities
- Take meeting minutes roll call and other administrative tasks during monthly meetings of the UOSUs Board of Directors;
- Take meeting minutes and complete other administrative tasks for the Board Committees;
- Support the Committee Chairs with knowledge of parliamentary procedure and the UOSUs governing documents;
- Prepare meeting minutes for approval ahead of the next Board of Directors meeting including translation and formatting;
- Update students on the activities of the UOSUs Board of Directors and its Committees by maintaining the UOSUs Board of Directors Instagram page;
- Work with the Board Chair and the Committee Chairs to complete other administrative tasks including creating meeting invites as needed;
- Support the Chair of the Board with miscellaneous projects including planning General Assemblies
- Maintain strict confidentiality; and
- Contribute to the good reputation of the UOSU.
Qualifications
- Bilingualism: strong written skills in both official languages (French & English) andcommand of procedural/legallanguage;
- Ability to summarize or transcribe meeting discussions in realtime;
- Good attention to detail and ability to format documents;
- Knowledge of or willingness to learn the principles of Roberts Rules of Order Newly Revised11thor12thEdition;
- Knowledge of Microsoft Office and/or similar platforms;
- Strong organizational skills;
- Discretion and ability to maintain confidentiality of private or sensitive meetings;
- Availability on weekends or after regular working hours when provided with advance notice; and
- Experience with Canva or other graphic design software.
Bilingualism in French and English is a requirement. Please note that the interview will be held in both French and English.
Preference will be given to candidates of equityseeking groups and bilingual (French English or a North American Indigenous language) applicants. Please note that the interview will be held in both English and French if you state that you are bilingual while candidates who speak an Indigenous language will be asked to provide proof of language proficiency from a language teacher community leader or Elder.
