Job Description

GENERAL SUMMARY/OVERVIEW STATEMENT:

Provides high level financial support to Senior Research Finance Manager Research Faculty and Research Support staff in the Department of Neurology. Position demands a high level of responsibility with general supervision extensive communication skills excellent prioritization and customer service skills.


PRINCIPAL DUTIES AND RESPONSIBILITIES:
  1. Provides assistance in the form of preaward budget preparation to federal foundation and industry sponsors. Major responsibilities include fiscal personnel management of time and effort including maintenance of Other Support information.
  2. Reconciles monthly charges on the monthly Partners INSIGHT accounting reports with expense encumbrances as posted into grant files maintained in the Department. Identifies and resolves any outstanding issues or discrepancies. This involves working with Accounts Payable Research Administration Purchasing Principal Investigators and other departmental and hospital staff to identify key issues identify a definitive solution or action plan and to take sole responsibility for putting that solution or action plan into effect. Independently problem solves all issues on a day to day basis.
  3. Serves as a liaison between PIs and Research Management/Finance/Compliance offices to ensure proper fund accounting for sponsored research.
  4. Responsible for providing Division/Lab/Center forecasting reports on a monthly basis to Principal Investigators (PIs) and the Neurology Senior Finance Manager noting in correspondence with them any budgetary concerns in accordance with established federal nonfederal and hospital guidelines.
  5. Tracks deadlines and assists with interim and final progress reporting.
  6. Monitor and process physician and support staff salaries in the Peoplesoft System in compliance with sponsor terms and conditions and institutional policies.
  7. Assist in the coordination of clinical trials. Work with investigators in the preparation of clinical trials. Create trial budgets monitor recruitment activity; assist with CRF and followup with milestone payments. Prepare close out documentation for PI and work with Research Administration to clear up any deficits or transfer off any positive balances. May assists with preparation of Investigational New Drug applications to the FDA.
  8. Prepare and approves hospital forms such as journal entries purchase orders check requisitions standing orders and petty cash vouchers. Coordinates processing and tracking of the above forms.
  9. Review and assist Faculty with Time & Effort reporting
  10. Conducts analysis as requested of Senior Research Finance Manager or the Director of Finance on past or projected expenditures of active grants pending grant support composite research funding support tables by PI etc. on an asneeded basis.
  11. Maintains uptodate files on all financial activity of active pending and closed grants.
  12. Participates in internal and external workgroups as assigned to improve research management systems and SOPs.
  13. Maintains established department policies procedures and objectives including the areas of quality assurance safety environmental and infection control.
  14. Performs all other duties and responsibilities as directed.

QUALIFICATIONS:

B.A. or B.S. requirement.
Accounting background strongly preferred.
Knowledge of NIH grant systems preferred
35 years of relevant grant management experience preferably in an academic department handling a large number of diverse grants.


SKILLS/ABILITIES/COMPETENCIES REQUIRED:

Must have strong working knowledge of Microsoft applications such as Excel Access and Word
A good working knowledge of research agency funding guidelines policies directives extremely helpful.
Must be extremely accurate working with a large amount of financial data
Possess excellent written and oral communications skills
Must exhibit a high degree of initiative
Ability to independently identify and solve problems
Must be very well organized to be able to work under time constraints and deadlines and to balance multiple competing priorities



WORKING CONDITIONS:

Variable workload may cause frequent interruptions and the need to shift from task to task prior to completion will present time pressure production on situations such as grant preparation deadlines.
