Job Description

Overview:

The Mayors Office Operations Team is seeking an intern to work up to 35 hours per week.

The ideal candidate must be a strong multitasker who is comfortable working independently as well as part of a team. The individual will assist with administrative and customer service tasks. This position provides an opportunity for college students to gain handson experience in municipal operations public service and office administration. This position reports to the Administrative Front Desk Manager.

Responsibilities:

  • Greet and assist constituents with a friendly and professional demeanor.
  • Answer screen and direct incoming phone calls promptly and courteously.
  • Maintain a clean organized and presentable front desk area.
  • Handle constituent intake and enrollment during visits.
  • Confirm meetings and conference room bookings.
  • Assist in data entry document filing and organizing office supplies.
  • Prepare and distribute city correspondence memos and emails; manage package deliveries.
  • Operate office equipment such as printers copiers and phone systems.
  • Ensure office security by following safety procedures and access control.
  • Maintain confidentiality of all city and constituent information.
  • Perform related duties as required.

Minimum Entrance Qualifications:

  • Current enrollment in an accredited college or university preferably in Public Administration Political Science Business or a related field.
  • Strong telephone skills verbal and written communication skills ability to work well under pressure and multitasking.
  • Ability to provide quality customer service in person and on the phone; to establish and maintain effective working relationships; to work effectively within a team and independently.
  • Experience with Microsoft Office (Word Excel) and Google Workspace (Docs Sheets Calendar) tools is a plus.
  • Ability to handle multiple tasks and work in a multicultural multiethnic workplace.
  • Ability to exercise good judgment and focus on detail required by the job.
  • Proficiency in video conferencing (Zoom Google Meets).

BOSTON RESIDENCY REQUIRED

Terms:

Union/Salary Plan/Grade: NonUnion/$20 per hour
