Summary:
The Special Events Coordinator will support the Special Events Manager Special Events Director and the rest of the Development Team in the of all of Spaulding Rehabilitation Networks fundraising events. The Coordinator will work closely with the Special Events Manager and the Special Events Director to meet the fundraising goals for each event in a creative and efficient manner.
Key Responsibilities:
- Provide critical support for all fundraising events including: Race for Rehab team2 Annual Golf Tournaments and the Set Sail event.
- Participate in developing strategies that will ensure annual events continue to build on previous success with Special Events Manager Special Events Director and Director of Development
- Manage all events in Raisers Edge donor database ensuring event RSVPs and expenses are recorded in the Event Module and that donors are acknowledged in a timely manner.
- Work with Donor Systems team to ensure that all event pledges are closed within one month of event date.
- Work collaboratively with the communication team to update all websites and communication material for fundraising events.
- Assist with the solicitation of corporate and private sponsorship opportunities.
- Assist and support event committee meetings and take minutes.
- Assist with logistics (sites food signage decorations sound system etc. for all events which will include detailed venue and vendor research and the ability to make recommendations to the team.
- Make connections with outside vendors to secure inkind donations including food beverage production dcor and other items to reduce event costs.
- Coordinate and solicit auction and raffle gifts as required via facetoface meetings and coordinated mailings.
- Manage Spauldings 3rd party Community Fundraising initiative and provide support for successful .
- Coordinate and manage volunteers at each event to ensure assignments are clearly outlined and properly executed.
- Coordinate all fundraising event silent auctions from brainstorming new items writing auction letters for mailing writing auction item descriptions to merging all documents and creating certificates as needed. The associate will have to keep track of auction items at events and keep track of what items will need followups as well as post event follow up.
Fiscal Responsibilities: Manage expenses within agreedupon event budget.
This position requires an understanding of the inner workings of fundraising events the principles and practices of a development operation high levels of professionalism collegiality selfmotivation organization and familiarity with the mission and goals of SRH. Excellent communication and writing skills are necessary as is the ability to work collaboratively with other members of the staff physicians administrative leaders and volunteers. Some availability outside of regular business hours (including some weekends) is required.
Education/Degree
Experience Recommended
- Experience working on high caliber successful fundraising events is preferred
- 1 to 3 yeas of previous development experience preferred or comparable experience in a related field
Skills
- Proficiency in MS Word MS Outlook MS PowerPoint MS Excel and Internet.
- Familiarity with Pledgemaker or Raisers Edge preferred.
- Familiarity with the Adobe Suite and Constant Contact is a plus.
- Demonstrated excellent organizational skills and strong attention to detail.
- Demonstrated exceptional written and oral communication skills.
- Willingness to take initiative and strong creative skills essential.
