Job Description
Position Summary
Reporting to the Director of Stakeholder Engagement this is a role within the Stakeholder Engagement Department. This department connects the MAC to the community by designing and implementing bestinclass engagements and serving as the organizations personal connection across communities.
The Stakeholder Engagement Department is part of the Strategy and Stakeholder Engagement Division. The divisions charter is to function as an inhouse team serving as stewards of strategy developing strategic communications and creating stakeholder champions to ensure the organization delivers on its purpose values and strategic goals.
This position is responsible for managing and executing all events identified by the Director of Stakeholder Engagement. This includes coordinating event logistics leading onsite management managing the MAC Ambassador program and collaborating with the Strategic Marketing and Communications Department in the creation of all supporting collateral communications and marketing materials for events.

JOB DUTIES
Event Planning and
- Work with the Director to identify stakeholder engagement strategy goals and key performance indicators for each event
- Work with the Director to identify key audiences and curate an outreach plan and invitation list as appropriate
- Assist the Director in planning and executing prioritized stakeholder outreach initiatives presentations communications surveys events and other forms of engagement for internal and external audiences
- Support highquality stakeholder engagement programming for airport longterm plans environmental reviews and other planningrelated initiatives
- Document and track MAC events and highengagement activities and meetings. Ensure MAC Senior Staff awareness and support on key engagement opportunities
- Lead committees to plan coordinate and execute signature events like annual State of the Airport luncheon and MAC annual all employee event
- Maintain strong relationships with internal and external event clients stakeholders and venues which includes proactive communication and follow through
- Manage all details of inperson and virtual event planning and implementation as required including logistical support coordination of design needs and postevent initiatives
- Coordinate and manage all necessary vendors/partners
- Create and manage programming/run of show
- Secure location/AV/negotiate contracts
- Order appropriate catering and supplies
- Manage dcor/photographers
- Obtain licenses or permits as necessary
- Serve as onsite management respond to event problems or complaints and obtain guest feedback
- Analyze event success implement postevent surveys prepare recap reports andtrack impact metrics
- Maintain a neat and professional appearance
- Perform other duties as assigned and/or approved by the Director Stakeholder Engagement
Engagement Programs
- Develop and manage internal education programs including the Lunch and Learn series and leadership Speaker Series
- Develop and implement an airport tour program facilitating coordination of tour requests and tracking impact measurements
- Lead the implementation and ongoing administration of the Airport Stakeholder Survey that engages the full MSP Airport community; track and implement any necessary engagementrelated followup actions
- Lead the MAC Ambassador program which provides opportunities for MAC staff to participate in and support airport events by recruiting individuals to provide event support managing event opportunities and signups communicating expectations and providing onsite support at events
- Develop and implement an engagement program that provides MSP Airport employees opportunities to participate in activities and events that build and enhance a positive and robust airportwide community; manage event opportunities and signups
Partner with Strategic Marketing and Communications
- Work with Strategic Marketing and Communications Department leadership for crossdivisional project planning and management including necessary creative communications and engagement services support (scripting newsletters websites PowerPoints theme printed materials giveaways collateral)
- Work with the Strategic Marketing and Communications Department to build MAC/MSP brand identity at each event to broaden awareness and increase the visibility of the MAC
- Support the Strategic Marketing and Communications team as requested with news conferences ribbon cuttings and other media/public affairs related events
- Manage and execute event activities that support key marketing strategies with consistency in content and messaging among divisions and stakeholders
- Partner with the AudioVideo Communications Specialist in the creation editing and production of videos and photos that assist in informing and engaging MAC employees and the general public
- Occasionally assist in recording MAC Commission and Committee meetings as needed by the AudioVideo Communications Specialist
- Support the Strategic Marketing department in writing and editing internal and external communications related to engagement and events
People Leadership
- Represent MAC Purpose and Values when leadingmanagingrecruiting and training MAC Ambassadors
- Communicate and manage clear expectations and parameters to MAC Ambassadors and consultants
- Identify and communicate key engagement opportunities to leadership coordinating internal and external opportunities as needed

- Proactive communication to Director and problemsolving abilities related to MAC Ambassador support speaker attendance or event logistics
Budget Management
- Coordinate overall event budget review and audit all billing for accuracy and reconcile supplier payments
- Track and report expenses to clients and communicate changes
- Ensure that all events are delivered on budget
- Advise Director on event and meetingrelated budget expenses in the development of the annual budget
- Proactive communication with Director when budgetary concerns arise

MINIMUM REQUIREMENTS
- Twoyear degree in hospitality business or a related field
- Five years of professional work experience in event and hospitality coordination
- Ability to multitask and stay highly organized and accountable

- Strong team leadership and communications skills

DESIRABLE REQUIREMENTS
- Bachelors degree in hospitality business or a related field
- Public sector experience
- Experience working in aviation or at an airport
- Intermediate experience with Adobe Premiere Pro Granicus and Xpression Graphics creation
- Experience with project management software
- Understanding/appreciation for working in a highly regulated industry
