Job Description

Candidates

  • Chase candidate documents and coordinate reference checks prior to registration.
  • Meet and greet candidates when they come into the office to register and ensure that first impressions are always positive and they are looking forward to working with Trust Education.
  • In anticipation of registration ensure that copies of all applicable candidate documents have been taken and are on file.
  • Have a handover with the relevant consultant before they meet with the candidate to explain anything that is still required and first impressions of the individual.
  • Send the post registration email and chase any missing references / documents and monitor candidate compliance. If a candidate posts in documents following registration ensure these are returned within 24 hours of receiving them.
  • Update the CRM system with candidate details post registration adding all relevant documents and information.
  • Amend candidate clearance boards when documents are received and change their status on the CRM when applicable.
  • Send the DBS link to candidates when necessary and complete the relevant checks to process the DBS.
  • DBS and document verifications.
  • Provide guidance and support to candidates throughout the recruitment process always ensuring they have a positive onboarding experience
  • Support the team when resourcing and help identify and screen suitable candidates for registration.
  • Evaluate their education background qualifications and specialised skills to ensure that they meet the criteria to join our supply register.
  • Participate in bespoke candidate recruitment campaigns to attract top talent in the education sector and plan / attend open days and university fairs to develop the candidate database.

Referencing

  • Email and post references.
  • Chase outstanding references (via telephone).
  • Record references on the CRM system.
  • Save both the email and reference & add to the candidate file.
  • Send any requested references to schools and other agencies and track the references we are asked to complete by other agencies against anything we have pending from them.
  • Check any references received against the CV to check dates and details match.
  • Send up to date references for any candidates who have a 6month working gap with us.

Checks

  • Teaching Regulation Agency (TRA check completed upon registration and annually).
  • DBS update service (upon registration and on the relevant dates).
  • SET checks for teachers with QTLS

Timesheets

  • Pass on missing invoice and timesheet details to consultants to update.
  • Ensure all bank details are correct on our CRM system.
  • Chase any missing new starter checklists prior to the candidates first assignment payment.
  • Run timesheets.
  • Email timesheets to the relevant client contact.
  • Process received timesheets checking against the information given.
  • Chase any outstanding timesheets.

Clients

  • Develop and maintain strong relationships with clients ensuring that they always receive a professional and efficient service.
  • Support consultants to service the needs of our clients and when required help fill bookings.
  • Help organise sales days and company competitions

Customer Relationship Management (CRM)

  • Deal with candidate and client queries update call logs and ensure the team are aware of any relevant information.
  • Prepare and save to the CRM system candidate send out CVs and correspondence for consultants to forward to clients in respect of suitable applicants for roles we are recruiting for.
  • Use the system to create useful client and candidates lists.
  • Update the system with any new client and candidate information.

Job boards / company website / social media

  • Utilise various job boards and place adverts on them to support the consultants in filling live vacancies.
  • Use the addition of social media to advertise positions attract candidates and help consultants to build relationships with them as well as the employers and the communities we serve.

Team Collaboration
  • Contribute to the continuous improvement of the recruitment processes and strategies.

General Duties

  • Answer inbound calls and always deliver excellent customer service to meet the needs of all clients and candidates.
  • Forge strong relationships with clients and candidates both on the phone and at times facetoface.
  • Deal with client and candidate queries and aim to reach a resolution in a timely manner.
  • Contact candidates to establish their availability.
  • Cleardown of the shared inbox with any emails you have dealt with.
  • Update relevant spreadsheets.
  • Always use strong communication skills both verbal and written.
  • Manage your own diary and update the shared diary.
  • Keep the interview room clean tidy and presentable.
  • Ensure that office essentials such as stationary and bottled water for the water cooler are always ordered and in stock.
  • Manage your time effectively and ensure that you are always punctual.
  • Embody the company values.
  • Stay career focussed and driven to succeed.
  • Any other needs of the business.

General:

  • Woking hours 37.5 Monday Friday 84 term time/ 83 nonterm time hour break
  • 15000 to 16000
