Description

Primary Objective

The Clinical Coordinator for Cochlear Implant and Pediatric Audiology Programs provides clinical and administrative support to the Audiologist to collaboratively ensure the delivery of high quality compassionate care to CEENTAs patients.

Essential Functions

  • Monitor and manage active appointment waitlist and cancelled appointment/reschedule worklist
  • Maintain applicable work queues in the EHR system including but not limited to cochlear implant evaluations pediatric specialty clinic appointments pediatric hearing aid consultations auditorybrainstem response evaluations and auditoryverbal therapy evaluations/treatment
  • Triage all communication and delegate to appropriate provider when necessary by serving as primary liaison for all incoming inquiries including but not limited to new referrals (internal and external) scheduling requests inbasket messages and patient questions via phone
  • Collaborate with external providers to obtain and send appropriate medical records
  • Scan audiology related documents and index these along with incoming faxes into EMR through OnBase
  • Maintain stock of office and clinical supplies and order from appropriate vendor as needed
  • Provide technical assistance for candidates and recipients by providing product support for entire cochlear implant and pediatric portfolios (cochlear implants BAHA hearing aids & diagnostic procedures)
  • Assist with cochlear implant evaluations which includes operation and setup of diagnostic audiometric equipment under supervision of licensed Audiologist as well as clinical room turnover and equipment sterilization
  • Provide patients/families with educational support and materials at the direction of licensed Audiologist
  • Manage cochlear implant surgery calendar and new candidate/recipient onboarding requirements including coordination of intraoperative support with CI manufacturers (when applicable) scheduling of virtual onboarding appointments for all new candidates/recipients and sending surgical order forms
  • Facilitate external equipment upgrade requests and ordering processes
  • Monitor letters of medical necessity certificates of medical necessity and medical records requests and assist with completion under supervision of licensed Audiologist
  • Prepare track and complete all return device authorization requests
  • Provide daily maintenance of clinic test equipment and loaner equipment
  • Serve as pediatric testing and programming assistant
  • Manage Hearing Link data base to ensure uptodate tracking and communication for state Newborn Hearing Screening Program
  • Ability to collaborate and participate in frequent communication with cochlear implant and pediatric ENT physicians and their associated medical assistants
  • Ability to meet the physical and mental demands of the position.
  • The ability to work onsite.
  • Predictable reliable and prompt attendance.

Training Period

Training period would vary depending on past audiology experience and proficiency with required responsibilities. Training will be completed in basic audiology procedures Epic Noah different cochlear implant and hearing aid manufactures work queues efficiencies. The training period would be two to three months.

Qualifications

Education

  • High school diploma or equivalent GED required.
  • Associate or bachelors degree preferred.

Experience

  • Experience in Audiology hearing science or Speech Language Pathology preferred.
  • Experience in a medical office setting preferred.

Supervisory Responsibilities

The Clinical Coordinator for Cochlear Implant and Pediatric Audiology Programs reports to the Audiology Program Manager with clinical oversight from the Cochlear Implant and Pediatric Specialty Audiologist(s).

This position has no supervisory responsibilities.

Position Type and Expected Hours of Work

Fulltime position 40 hours a week Monday through Friday 8am to 5pm. Hours are subject to variation based upon clinic needs.

Physical Demands:

  • Frequently required to stand; walk; sit in front of a computer; type; perform repetitive mouse clicks; use hands to finger handle or feel; and reach with hands and arms to assist patients and/or providers/staff.
  • Occasionally assist with moving or positioning patients in wheelchairs clinical equipment up to 300 lbs and office supplies up to 30 pounds.
