The mission of VCUs Office of Development and Alumni Relations (DAR) is to maximize philanthropic support by engaging stakeholders with our institution working in partnership with all VCU schools programs and campuses as one development and alumni relations community and implementing the best practices and efficient strategies to achieve a comprehensive development program.

Reporting to the Associate Vice President for Alumni Relations the Operations Manager will provide essential administrative support to the Associate Vice President and the Office of Alumni Relations. The Operations Manager must be highly motivated able to work independently proactive solutionoriented eager to master new technologies discreet in the handling of alumni and internal records and have a keen eye for detail. The ability to make datainformed decisions experience with fiscal management effective communication and collaboration with internal and external stakeholders are essential.

Typical Duties

Financial Operations

  • Provide budget management and financial oversight for VCUs Office of Alumni Relations including quarterly projections and longterm budget assessments
  • Handle purchasing for the department as needed including procurement professional development webinars business cards Amazon purchases and catering for meetings
  • Represent the Office of Alumni Relations to the Executive Director of Budget and Finance at DAR for all constituent organization accounts

Data Management

  • Lead efforts to track alumni engagement metrics and obtain regular reports from campus partners and internal team members
  • Manage data input process into the constituent database from external partners.
  • Work closely with the Executive Director of Business Intelligence to maintain the alumni engagement data dashboard and ensure that data is accurate and complete
  • Produce annual reports on alumni demographics and behaviors
  • Lead efforts for campaign engagement goal

Administration

  • Work with department colleagues to manage communications processes and systems.
  • Serve as liaison between the Office of Alumni Relations and other DAR partners for annual planning calendar and operating plans
  • Schedule meetings on behalf of the Associate Vice President for Alumni Relations as needed
  • Maintain electronic and paper filing systems
  • Manage orders and inventory for swag and giveaways for the Alumni Relations general supplies
  • Manage a large volume of calendar scheduling requiring interaction with both internal and external alumni staff and volunteers to coordinate a variety of complex meetings
  • Coordinate special projects and other miscellaneous duties as assigned

  • Maintain and encourage open and honest professional relationships within the team and throughout DAR and VCU
  • Establish cultivate and maintain effective working relationships with internal partners
  • Collaborate with peers and stakeholders to add to DARs collective innovative thinking
  • Align your values with DARs core purpose and values
Qualifications

Minimum Qualifications

  • Bachelors degree or equivalent experience in higher education corporate or nonprofit environment
  • Previous experience in project management administrative support data management and fiscal administration
  • Excellent interpersonal skills
  • Excellent communication skills both written and oral
  • Significant administrative experience in a detailoriented office with a high level of interaction with outside communities
  • Ability to manage budgets and perform basic procurement functions
  • Ability to prioritize focus work independently and be a selfstarter
  • Working knowledge of Google Suite Microsoft Office suite and database systems.
  • Demonstrated experience working in and fostering an environment of respect professionalism and civility with a population of faculty staff and students from various backgrounds and experiences or a commitment to do so as a staff member at VCU

Preferred Qualifications

  • Five years experience in project management administrative support data managementand fiscaladministration
  • Experience working with alumni or other external constituencies
  • Demonstrated experience using data to inform business decisions or programs.
  • Experience in a confidential environment with all levels of internal and external stakeholders
