The Refunds Deputy Specialist I receives scans and processes refund applications. Research prepare and manually key requested refunds received from taxpayers and correction rolls from Harris County Appraisal District (HCAD). This role answers department phone line providing customer service for internal and external customers.
Job Duties and Responsibilities:
Receives sorts date stamps and validates accuracy on refund applications
Review refund applications
Assist customers with refund inquiries
Deciphers what the customer may need or be requesting
Process basic refunds by assisting other areas in the Property Tax Division
Reviews uploads and send out correspondences
Scan incoming correspondence and updates databases
Provides research based on the type of request
Analysis at times is required to determine what documents must be printed what information should be highlighted and what documents should be scanned
Assist customers by phone and via voice mail by answering questions and providing direction on refund request
Provide telephone relief on overflow Property Tax days
Evaluate the customers question and determine best way to assist customer
Crosstrain within other areas of the Property Tax division
Will perform other duties as assigned

Education:
High school diploma or GED equivalent from an accredited institution within the U.S.
Experience:
Minimum of 12 years clerical office experience
Minimum of 1 year of customer service experience
Minimum typing speed of 35 wpm
Knowledge Skills and Abilities:
Basic computer proficiency and knowledge to include use of Microsoft Word Excel and Outlook
Excellent Phone etiquette
Outstanding Organizational skills
Strong Attention to detail
Critical thinking and problemsolving skills
Communication Skills necessary with verbal written and interpersonal interactions
Customer Service Skills with strong interpersonal ability
Time Management: ability to prioritize tasks with processing and ability to meet deadlines.
Must be able to adhere to office confidentiality requirements regarding customer and voter information
