Job Description

Are you a skilled Executive Assistant looking for a permanent position where you can make a difference


We are hiring an Executive Assistant for a healthcare nonprofit located in Rosemont Illinois. The position is responsible for the preparation and of various governance activities as assigned including preparation for and attendance at meetings and the recording of Board meeting minutes. The Executive Assistant also works closely with the Accreditation Operations Manager in the of business processes and documenting office policies and procedures.This position is 5 days on site.

LOCATION: Rosemont IL(onsite)

POSITION TITLE: Executive Assistant

SCHEDULE:40 hours/week 5 days on site One day hybrid after 3 months)

DURATION: Direct Hire Permanent

Salary $60000 $70000


Our Ideal Candidate:

  • Three to five years of secretarial/administrative assistant experience with association experience preferred.
  • Ability to multitask concurrently effectively and efficiently.
  • Ability to prioritize and meet deadlines.
  • Ability to analyze and interpret data and report findings.
  • Ability to communicate extensively and well both verbally and written.
  • Prior work experience in public health higher education or accreditation agency preferred.
  • Proficiency in the use of contemporary software such as Microsoft Office products.
  • Bachelors Degree required.
  • Experience with Salesforce or Asana preferred

How You Will Spend Your Day:

  • Organizes and maintains files for the Office of the CEO
  • Evaluates and prioritizes theCEOs mail.
  • Records minutes of meetings as assigned. Edits minutes prior to review by the Board.
  • Arranges all logistics of Board meetings including catering ordering and setting up of supplies hotel accommodations and transportation.
  • Is responsible for the preparation and distribution of meeting materials including development of the agenda and obtaining and organizing materials. Compares post meeting action list to minutes to ensure all action items are identified.
  • Communicates with the Directors and responds to questions regarding Board meetings and conference calls.
  • Updates and maintains external databases such as CRM Outlook and USDE program information.
  • Maintains the COA website. Prepares and posts accreditation documents on the AANA website
