The Office Manager will report to the Associate Director Office Experience and will play a critical role in ensuring the smooth operation of the Milan office while overseeing some of our remote offices in the DACH region and the North region. This role involves a blend of onsite office management and remote coordination to maintain efficient and welcoming work environments across multiple locations. We are looking for an enthusiastic organized and proactive person with exceptional coordination skills and the ability to foster a positive workplace culture both locally and remotely.

Key Responsibilities:


Office Management (Milan)
Manage the reception area welcoming employees clients and visitors.
Oversee the general organization and upkeep of the office including meeting rooms workspaces and common areas.
Ensure office supplies food and equipment are wellstocked and managed.
Coordinate with vendors and service providers for office logistics (maintenance cleaning catering etc..
Handle incoming and outgoing mail and packages.


Remote Office Management (DACH : Hamburg and Geneva & North Region: Stockholm and London)
Serve as the main point of contact for remote offices supporting daytoday operations.
Coordinate with remote teams to maintain office standards and support the issues resolution promptly.
Support car and phone company management and optimization.


Event Organization & Employee Wellbeing
Plan and execute teambuilding activities and wellbeing initiatives.
Manage internal events such as afterworks and employee gifts to enhance workplace culture.
Support the Global Event manager in the corporate events organization.


Administration & Finance Support

Assist with administrative tasks including invoice processing and purchase justifications.
Ensure compliance with company procedures regarding office and remote site management.
Facilitate travel bookings and reservations for staff across all locations.


Onboarding & CrossLocation Coordination
Assist with onboarding logistics for new hires in coordination with HR and IT (travels equipment badges business cards).
Collaborate closely with office management teams in other TheFork locations to align and optimize processes.

What Were Looking For
3 years of experience in a similar role managing office environments including remote office management.
Strong organizational skills and the ability to multitask across multiple sites.
Positive and friendly attitude enjoying teamwork and problemsolving.
Fluent in English and Italian (written and verbal). Additional languages are a plus.
Autonomous and proactive taking initiative to improve processes.
Experience with event planning and remote team coordination.
Flexibility and adaptability to a dynamic work environment.
