Job Description

The Business & Finance Administrative Assistant (Confidential) is responsible for supporting the Associate Vice President (AVP) for Business & Finance the Director of Auxiliary Services the Director of University Budgets and at times support the University Budgets team. This position oversees the general daytoday office operations of the Business and Finance Department.

Primary Duties:

  • Assist Associate Vice President for Business & Finance in carrying out the office operation responsibilities.

  • Responsible for specific projects/programs conducted by the unit whether selfinitiated or initiated by the AVP for Business & Finance Director of Auxiliary Services or Director of University Budgets which may involve planning and coordinating work analyzing and manipulating data preparing reports making recommendations and other duties associated with the successful completion of a project/program.

  • Perform administrative work of a confidential nature for the AVP for Business & Finance Director of Auxiliary Services and the Director of University Budgets.

  • Prepare materials for the Board of Trustees Executive Management editing of the Annual Financial Statements Credit Rating Agencies and other internal and external groups.

  • Work with monitor and oversee of highly sensitive personnel and financial information.

  • Coordinate various events including special events and functions.

  • Update and maintain the Business & Finance Departments websites.

  • Responsible for various tracking & reporting processes.

  • Coordinate and edit correspondence reports and materials for publication.

  • Develop prepare and/or compose responses to memos and correspondence requiring research judgement and discretion routinely writes edits and submits materials for external/internal communications.

  • Reconcile and monitor accounts making and tracking expenditures preparing budget statements and managing travel and expense reports monthly.

  • Undertake confidential reports and complete confidential reports.

  • Act with a high degree of independence as liaison with inside and outside contacts and in preparing meeting materials reporting information programs updates recruiting and other tasks as assigned.

  • Assist faculty and staff with administrative problems or concerns.

  • Coordinate employment search processes at the direction of the AVP Business & Finance.

  • Utilize Workday for invoice processing requisition/PO management Supplier Requests Travel and Expense Reimbursements and other various duties.

  • Respond to information requests from faculty staff students and outside agencies.

  • Act as a liaison for the division in situations outlined by the AVP for Business & Finance Director of Auxiliary Services and Director of University Budgets.

  • Originate correspondence contracts and appointment letters reports and other materials.

  • Responsible for scheduling appointments for the AVP of Business & Finance Director of Auxiliary Services and the Director of University Budgets and for scheduling other office staff special events and divisional events.

  • Coordinate Business Office Training opportunities for the campus community.

  • Performs other related duties as assigned/required.

Required Qualifications:

  • High school graduate or equivalent.

  • Minimum of five years of relevant work experience.

  • Demonstrated administrative and organizational skills.

  • Experience with various computer software applications such as Microsoft Office and/or equivalent.

  • Data entry experience.

  • Typing and spelling competency with grammar and proofreading skills.

  • Possess strong verbal and written communication skills.

  • Demonstrated experience to successfully provide quality customer service.

  • Demonstrated experience to successfully work independently organize own work and coordinate work activities of others.

  • Demonstrated experience to successfully coordinate large projects.

  • Demonstrated experience to successfully handle multiple demands efficiently.

  • Demonstrated experience in a supervisory role or equivalent.

  • Demonstrated experience to successfully organize and prioritize workload.

  • Demonstrated experience to handle complex budget records and assist with financial concerns.

  • Demonstrated experience to successfully navigate challenging situations in the workplace while using good judgement.

  • Ability to work under pressure and meet deadlines.

  • Demonstrated experience to successfully maintain satisfactory work performance and attendance records.

  • Ability to maintain positive intercultural and interpersonal relationships.

Preferred Qualifications:

  • Bachelors degree.

  • Experience in higher education.

  • Active Notary Public for State of Michigan or willing to become one.

  • Experience using various reporting software such as Workday.

  • Demonstrated experience to successfully handle and exercise judgement in confidential matters.

Supervision Received:

Receives minimal supervision from a designated supervisor. Much of the work is selfinitiated. Person is expected to function with considerable independence and apply appropriate policies and procedures within the assigned area of responsibility. .

Supervision Exercised:

Hire train schedule and coordinate the work of student employees and may act as lead worker to PSS staff members within the department/unit/division.

Job Classification & Benefits: Fulltime C5 level Confidential Professional Support Staff nonunion. Minimum starting wage of $24.19 per hour
