We are looking for someone handson and proactive with an administrative or economical background eager to learn and to evolve in a panEuropean context to support the Belux Investment Management team with diverse tasks from office management to analyst tasks and event organisation.
Knowledge of Real Estate management or Transactions is a plus.
Your responsibilities
Office management:
- Supplier accounting management entry and control of invoices and expense reports
- Support SPV accounting & tax.
- Management of incoming and outgoing mail
- Drafting of various mail; Purchase order; Confirmation of end of lease; etc.
- Organize and schedule meetings appointments and events.
- Welcome visitors.
- Contact person for maintenance shipping supplies equipment etc.
- Organize office operations and procedures.
- Coordinate with IT department on all office equipment.
- Purchase supplies such as drinks coffee office supplies.
- Responsible for the onboarding of new employees
- Ensure filing systems and archives are maintained and up to date.
- Analyse and monitor internal processes.
- Maintain a safe and secure working environment.
- Support for travel arrangements (hotel bookings etc)
Administration support for Investment Management team:
- Organisation of property viewings & marketing initiatives
- Preparation of presentations for conferences and debates
- Preparation & support of ESG initiatives (ESG TOOLKIT assembling of data etc.
- Preparation of financial models (filling in property data etc.
- Preparation of lease approval templates & other administrative tasks
- Preparation of fund branch & AM reporting
- Support on Strategic Asset Reviews
- Preparation of HUM and IC documents (property data etc)
- Followup of Property Management on administrative tasks (signing of inventory of fixtures etc.
- Prepare tasks and data in BISON property & lease data.
- Prepare Data room for Due Diligence.
- Organise visits for valuers / brokers / candidate buyers.

- Skill with Microsoft Office and other office management software.
- Strong problemsolving and decisionmaking skills with the ability to think critically and make sound decisions.
- Ability to handle information confidentially and treat sensitive information with discretion.
- Fluent Dutch or French and English language is required.
