Within VANTIVA EMEA/APAC customer unit the Order fulfillment representative will be in charge of :
Customer service
- Receive customers Pos make sure they are acceptable with different stakeholders (Demand Planning Finance) before processing them or take necessary actions to have them modified when needed.
- Be the interface between the Production planning teams in Asia to manage production confirmations to be aligned with the customers orders.
- Optimize and arrange the shipments of goods from Asia to our warehouses or directly to our customers warehouses either by sea or by air according to the customers needs or business requirements (sales RBC)
- Coordinate and have a regular communication with suppliers and customers warehouses and customers in some cases.
- Ensure the followup of customers orders for the receipt to the final deliver of the goods
- Prepare the right documentation needed by the customers and Customs when relevant
- Send the invoices to the customers by email or load them on the customers portals.
- Provide each week to the business (Sales Business Ops CDM) a full detailed delivery plan for each customer by product by month or week depending on the requirement with explanations on constraints or issues if any (production delay component shortage logistics pb)
- Attend weekly calls with Sales RBC customers in some particular cases) to explain the delivery plans
- Be responsible of data quality/accuracy of invoicing information provided to the management each week in Kinaxis
- Work closely :
> internally with Sales team Business Ops/Demand Planning supply planning in Asia finance logistics IT SAP and KINAXIS teams
> externally with customers warehouses customers our warehouses forwarders customs brokers
Logistics
- Issue shipping instructions by product/container and shipping mode (sea or air)
- Follow closely the booking confirmations with suppliers and forwarders to make sure our products will be shipped and delivered on due time.
- Follow closely the containers from port of departure to the final destination
- Attend weekly calls with warehouse and forwarders
- Manage and arrange the delivery of our goods to customers at the expected date working closely with the warehouse and/or forwarders in case of direct shipments
- Manage claims
IT
- KINAXIS our master tool to drive all our business
- SAP
- POWER BI
Qualifications :
- Supply Chain Master degree
- 4 to 5 years experience in a similar function in an international environment
- Strong knowledge in customer service activity logistics import/export flows incoterms
- Autonomous
- Strong team spirit
- Good communication and relationship
- English fluent
- French would be highly appreciated
- Good knowledge of EXCEL SAP
