Faculty/Unit: The School of Continuing Studies Global & Strategic Communication
Position Summary
Under the direction of the immediate supervisor the incumbent may perform some or all of the listed tasks with minimal complexity and precise instruction. The main responsibility will be the administrative support for the planning and coordination of TEF/TeFaQ tests.
Typical Functions
Positive attitude while greeting and answering general inquiries. This includes directing calls providing policies and procedures and offering locational directions.
Collects and enters data into established databases.
Receives sends and sorts mail parcels and various forms.
Schedules appointments and meetings when required.
Verifies student ID status and forms that may be submitted.
Document preparation of forms exams marketing materials and emails. This may include sorting collating filing scanning photocopying and shredding.
Distribution and tracking of items such as documents and computer equipment. A log to track these items may be required.
Provide general assistance at events such as training sessions open houses or other related activities.
Maintain immediate work area in a clean and orderly fashion.
This role requires attention to detail strong organizational skills and the ability to collaborate effectively with others to ensure the success of the testing process.
The above list of functions is representative and not exhaustive. The incumbent may be asked to perform additional tasks or support various activities within the organization such as assisting with Communications Assistant tasks at levels A or B.
Other Qualifying Skills and/or Abilities
High School Diploma with two years of relevant experience in the field of work. Experience with testing centers event coordination or administrative support is an asset. Knowledge of English: McGill University is an Englishlanguage university where day to day duties may require English communication both verbally and in writing.
