Job Description

Established friendly and prominent Real Estate Tax Appeal and Recovery Firm located in Lincolnwood IL.
We are looking to fill the position of Administrative Assistant/Customer Service Representative

Job Type: FullTime
Work Days: Monday through Friday
Work Hours: 9AM 5PM
Job Location: Lincolnwood IL

Key responsibilities include but are not limited to:
  • Enter and manage new leads in the CRM system ensuring accuracy and completeness.
  • Track and update lead status throughout the property tax appeal process.
  • Answer incoming calls from prospective and existing clients providing courteous clear and professional guidance on the property tax appeal process.
  • Address client inquiries resolve concerns and escalate complex issues when necessary.
  • Respond to client emails in a timely professional and wellwritten manner.
  • Document Management & ESignature Processing
  • Prepare and send required documents to clients via esignature platforms.
  • Follow up to ensure timely completion and return of necessary paperwork.
  • Maintain organized records of all signed agreements and supporting documents.
  • Keeping sensitive customer and company information confidential
  • Contact clients to remind them of upcoming or overdue payments.
  • Professionally and confidently discuss payment obligations with clients.
  • Provide updates on the status of their property tax appeal and any outstanding balances.
  • Assist with general administrative tasks to ensure smooth daily operations.
  • Work collaboratively with team members to enhance efficiency and client satisfaction.
  • Take initiative to complete tasks independently without supervision.
  • Utilize strong computer skills including fast and accurate typing (minimum 50 WPM) efficient use of keyboard shortcuts and quick navigation through CRM and other software.
  • Perform tasks efficiently using copy/paste file management and other digital tools to improve workflow speed.

Requirements

  • Excellent communication skills both verbal and written
  • Be able to take directions from a supervisor throughout the day
  • Demonstrate initiative by proactively managing tasks and responsibilities without the need for constant supervision
  • Focused and works in a methodical and efficient manner
  • Experience with CRM(Customer Relationship Management) software preferred
  • Strong familiarity with Computers Windows Outlook Word required Excel preferred
  • Ability to type 50 WPM
  • Background check required
