KEY RESPONSIBILITIES:
Accounts Support:
Xero Experience: Reconcile invoices payments creation of bills from purchase orders matched to supplier invoices ensuring accuracy and alignment in the system.
Reconcile Income Payments: Verify and reconcile income payments against invoices.
Follow Up on Overdue Invoices: Proactively follow up with clients regarding overdue payments ensuring collections are made in a timely manner. remove
Email Management: Managing the Accounts inbox matching the supplier invoice Handle and respond to accountrelated emails promptly and professionally.
Zoho Experience: Use Zoho to manage customer accounts track communications and manage reports.
Automated Pipeline: Utilise automated tools and systems to track and manage the financial pipeline efficiently.
Admin Support:
Zoho CRM SalesIQ Chat FSM: Maintaining meticulous attention to detail when working in the database and correcting format errors identified. Working from Task Lists according to the job workflow.
Solar Plus Owners Manual: Issuing the owner s manual from Solar Plus ensuring products match the completed job details.
Connect Portals: Connect & EWR Submissions: via Energex and Essential Energy portals submitting a connect at the beginning and EWR at the end of solar install job. Follow One Note procedure. When required and instructed by job workflow.
Product Registration & Monitoring Setup: Each inverter and battery brand has its own portal for product registration and monitoring setup. Follow One Note procedure. When required and instructed by job workflow.
Sales Admin Support:
FollowUp on Quotes: Followup quoted customers 14 days after quotes are sent via sms and email prompting them to call or reach out to the sales person to address any questions or concerns they may have.
Communication Channels: Utilise email and SMS to contact customers regarding quotes status updates or inquiries.
Proven Experience in Accounting & Admin Support: A minimum of 35 years experience in accounting administrative support with a focus on attention to detail and managing financial records.
Strong Xero and Zoho Experience: Proficiency in using Zoho CRM and customer management and Xero for accounting (invoice payment reconciliation bills creation from supplier invoice etc..
Strong Communication Skills: Excellent written and verbal communication skills with a focus on providing exceptional customer service.
Proven Ability to FollowUp: Ability to follow up on quotes and invoices in a timely manner with a professional demeanor.
