Job Description
We are seeking a detailoriented and highly organized Healthcare Administrative Assistant to support a successful medical clinic owner in Mississippi. You ll be responsible for managing a diverse range of tasks from email and calendar management to file organization and general administrative support. Responsibilities
- Manage and organize a highvolume email inbox categorizing messages drafting responses and flagging important items for the client s attention
- Maintain and optimize digital file systems with a focus on Google Drive organization and efficiency
- Coordinate a complex calendar scheduling appointments and managing conflicts for both personal and professional commitments
- Assist with personal task management helping to streamline daily activities and improve worklife balance
- Provide administrative support for clinicrelated tasks as needed working in tandem with the existing virtual medical assistant
- Handle sensitive information with the utmost discretion and maintain strict confidentiality
- Proactively identify areas for improvement in organizational systems and suggest solutions
- Assist with research tasks information gathering and basic report preparation as required
- Manage travel arrangements and itineraries when necessary
- Act as a primary point of contact for nonurgent matters filtering and prioritizing communications
Requirements
- Proven experience as a Personal Assistant Executive Assistant or in a similar role supporting busy professionals
- Exceptional organizational skills with the ability to manage multiple tasks and priorities simultaneously
- Strong proficiency in email management tools and digital file organization systems particularly Google Workspace (Gmail Google Drive Google Calendar)
- Excellent written and verbal communication skills with the ability to interact professionally with a diverse range of contacts
- High level of computer literacy including proficiency in Microsoft Office suite and ability to quickly learn new software applications
- Demonstrated ability to work independently take initiative and anticipate needs before they arise
- Strong problemsolving skills and the ability to make decisions independently when appropriate
- Flexibility to adapt to changing priorities and work outside of standard business hours when required
- Strict adherence to confidentiality and professional ethics
- Experience in healthcare administration or familiarity with medical terminology is a plus but not required
- Comfortable working remotely and managing time effectively without direct supervision
- Ability to commit to a minimum of 20 hours per week with flexibility to increase hours as needed
