Job Description

MalaceHR is seeking a skilled and experienced Senior Property Manager to oversee the daily operations of a diverse property management portfolio spanning multiple states. The ideal candidate will have strong department and staff management experience particularly in highend office or office/medical properties. This role requires leadership in training staff ensuring operational efficiency and ensuring that company building owner and tenant requirements are met across all properties.

Key Responsibilities:

  • Staff Leadership & Training: Manage train and lead a team of Property Managers Assistant Property Managers Building Engineers Day Porters Fire Directors and Greeters ensuring they meet performance expectations.
  • Team Oversight: Ensure Property Managers effectively manage building engineers and other staff ensuring tenant requests and work orders are completed in a timely and professional manner.
  • Property Maintenance & Aesthetics: Guide Property Managers to maintain and enhance the interior and exterior appearance of properties. Focus on holding service providers accountable and planning for strategic capital improvements.
  • Site Visits: Conduct site visits to each property 24 times per year to ensure compliance with company standards and operational effectiveness.
  • Financial Management: Oversee the planning budgeting and control of operating and capital expenditures for all properties. Prepare annual budgets forecasts management plans monthly financial reports and variance reports providing clear explanations for any variances.
  • Financial Performance: Manage the financial performance of assigned properties ensuring they meet budgetary goals and performance metrics.
  • Vendor Relations: Manage and develop relationships with current vendors ensuring highquality dependable and costeffective service. Identify and onboard new vendors as needed.
  • Policy & Compliance: Create and enforce adherence to Property Management operational policies and procedures with a strong emphasis on regulatory compliance life safety and NFPA policies.
  • Risk Management: Ensure management and supplier agreements are appropriately documented to mitigate risk for the company building owners and investors/clients.
  • Safety Compliance & Training: Collaborate with the Vice President of Property Management to educate associates on safety policies and monitor adherence across all properties.

Educational & Experience Requirements:

  • Proven success in delivering excellent customer service both internally and externally.
  • Strong experience in developing and managing detailed financial budgets as well as providing effective financial reporting and analysis to improve property performance.
  • Previous experience managing highidentity office or office/medical properties of similar scale.
  • Demonstrated leadership ability and a successful track record in managing multifaceted teams.
  • Experience managing a variety of vendors and negotiating vendor contracts.
  • High energy a positive attitude and a collaborative work approach.
  • Excellent oral and written communication skills.
  • Proficiency with various computer software applications used in business practices. Ability to quickly learn Yardi Accounting and Property Management software if no prior experience.
  • Bachelor’s degree preferred though relevant experience and a proven track record can substitute for educational requirements. Continuing education is a plus.

  • Improvement in financial performance tenant satisfaction and operational efficiency across the portfolio.
  • Compliance with safety regulatory and operational policies.
  • Successful vendor management and cost control measures across all properties.
