Responsible for assisting F&B Leadership by performing various office support duties (clerical secretarial and administrative) to ensure office operates efficiently; generates specific reports and initiates a variety of special projects including retaining new and existing clients and creating banquet event orders (BEOs) for banquet reservations
- Schedules appointments with perspective clients and greets upon arrival.
- Leads property tours and shares other features and amenities of Belterra Park.
- Provides pertinent information to perspective clients including menus pricing AV rentals and room rates.
- Receives answers screens and routes all banquet sales phone calls and uses appropriate message display.
- Makes prospect calls for new business as assigned by leadership.
- Performs clerical work as assigned including maintenance and holding of documents or files.
- Generates BEOs and contracts which accurately reflect clients request and submits for final approval from F&B Leadership .
- Communicates and follows through to ensure that all changes are being fulfilled according to the clients specifications for upcoming events.
- Types correspondence memos file documents etc.; copies and distributes such documents to proper recipients.
- Prepares reports and/or special projects which may include prospect logs lost business logs data collection coordination final copy preparation distribution etc.
- May perform time and attendance and supply ordering duties for assigned department.
- Liaison between client and Banquet/Culinary Team specifically ensuring all complaints and requests are handled efficiently professionally and in a timely manner.
- Liaison between client and other inhouse departments.
- Provides general administrative support to guests i.e. making copies collating meeting materials sourcing office supplies on short notice taking messages and delivering to guests in meeting rooms.
- Attends Weekly BEO Meeting and keeps minutes of meeting.
- Designated point of contact for all internal/external events and responsible for coordinating room reservations setup F&B requests and partnerships with other in house departments.
- Communicate group sales calendar to keep all aligned on a weekly basis.
Qualifications :
- Ability to use all required office equipment in an effective and efficient manner.
- Ability to review and route all necessary documentation type and review correspondence etc.
- Ability to communicate effectively with outside contacts customers and all levels of employees.
- Ability to effectively and efficiently move around all work areas.
- Must be flexible to work varying shifts and time schedules as needed.
- Machines and equipment used but not limited to include computer word processing applications fax copier scanner wireless radio (walkietalkie) and multiline phone.
- Typing and computer skills required.
- Strong detailoriented organization skills.
- Knowledge of and ability to operate at least one of the following office systems: Microsoft Office Delphi and AS/400 office system.
- Ability to initiate followup on and complete special projects as assigned.
- Must be able to obtain and maintain all appropriate licenses / certifications per Federal State and Gaming regulations
This knowledge and these abilities are typically acquired through a minimum of two years of administration or related experience.
