Job Description

Records Management Specialist

Our client in the printing industry is seeking a dedicated professional to lead plan and manage records management processes. This role focuses on overseeing administrative records in all formats ensuring compliance with retention policies and supporting operational efficiency through effective records tracking and analysis. The successful candidate will demonstrate expertise in managing both electronic and physical records utilizing file tracking software and applying advanced Microsoft Excel skills for data analysis. Strong communication skills are essential as this role involves frequent collaboration with internal and external stakeholders.

Responsibilities:

Lead the transformation of records management processes for both digital and physical records.
Act as a subject matter expert on records management issues ensuring compliance with policies and regulations.
Keep senior management informed on operational legal and regulatory matters related to records management.
Collaborate with senior management to align records management processes with enterprise architecture.
Develop and oversee records policies ensuring alignment with strategic plans and industry standards.
Utilize file tracking software to search retrieve and distribute records while maintaining location updates.
Analyze structured and unstructured data to determine eligibility for disposal based on retention schedules.
Generate and review disposal reports against legal hold requirements ensuring proper record retention.
Create and manage Excel spreadsheets with complex formulas (Conditional Formatting VLOOKUP etc. to analyze data.
Prepare physical files for storage ensuring proper documentation in tracking systems before archiving.
Coordinate with storage vendors for retrieval reporting and return of archived records.
Scan documents into electronic format following established naming conventions and maintain soft copies.
Conduct periodic audits and updates of records in tracking software to ensure data integrity.
Adhere to policies regarding sensitive and confidential information while maintaining compliance.
Provide support across various service lines as needed ensuring smooth operations in all areas.
Support administrative tasks training of new employees and operational processes related to print mail courier and imaging services.
Travel to supported accounts as required adapting professionally to different client environments.

What you will need to succeed:

High school diploma or equivalent (GED) required.
2 years of records management experience with proficiency in records management software.
3 years of experience in a Service Delivery environment.
6 months to 1 year of experience delivering customer service.
Specific account training and knowledge or similar print service support experience in the same region or for a similar client.
Proven ability to work effectively in a range of client environments.
Advanced Excel skills including data analysis and complex formulas (Conditional Formatting VLOOKUP etc..
Strong attention to detail accuracy and quality in work.
Excellent verbal and written communication skills.
Strong organizational and time management skills to handle multiple tasks and meet deadlines.
Ability to work independently and as part of a team in a fastpaced environment.
Exceptional customer service skills and ability to interact with stakeholders at all levels.
Ability to resolve and escalate issues effectively.
Basic problemsolving skills related to technical issues.
Knowledge of file conversion or graphic arts applications such as Adobe Acrobat.
Must be able to lift up to 50 lbs. and stand for extended periods as required.
Familiarity with operating reproduction equipment for scanning files to electronic format.
