Job Title: Secretary
Job Overview:
We are seeking a skilled and organized Secretary to join our team and provide administrative support to ensure efficient operation of our office. The Secretary will undertake a variety of tasks ranging from answering phone calls managing correspondence scheduling appointments and supporting other staff members. The ideal candidate should be detailoriented possess excellent communication skills and have the ability to multitask effectively in a fastpaced environment.
Responsibilities:
Administrative Support: Provide administrative support to ensure efficient operation of the office. This includes handling incoming calls managing correspondence and organizing documents and files.
Communication: Act as a point of contact between management staff clients and external partners. Facilitate communication by responding to inquiries redirecting calls and relaying messages as necessary.
Record Keeping: Maintain and update office records including contact lists calendars and databases. Ensure that all records are accurate organized and uptodate.
Office Management: Assist in the management of office supplies and equipment. Order supplies as needed and ensure that office equipment is functioning properly.
Travel Arrangements: Coordinate travel arrangements for staff members including booking flights hotels and transportation as needed.
Meeting Support: Prepare agendas materials and presentations for meetings. Take minutes during meetings and distribute them to relevant parties afterward.
Data Entry: Perform data entry tasks accurately and efficiently. Input information into databases spreadsheets and other documents as required.
