Front Office Executive (FOE) SCOPE OF WORK
Responsible for greeting visitors answering a multiline telephone and meeting room
management all of which contributes to the productivity and effectiveness.
Responsible for managing guest request and enquiries.
Answers all incoming phone calls & redirects as necessary.
All phone call enquiries are handled efficiently politely and with confidentiality.
Maintains a daily record of visitors and other metrics as required.
Maintains uptodate internal reference material and Directories.
Maintains staff attendance registry Service reports and delivery challan file.
Issues and retrieves visitor passes & temporary access cards based on established
procedures.
Receives & logs Incoming/ outgoing mails & courier; handover to office boy for
internal delivery.
Places catering orders for meetings office events and officewide Lunch and Learns.
Maintains cleanliness within the external meeting room area which promotes a
welcoming hospitable environment.
Manages meeting room spaces effectively and efficiently by overseeing scheduling
on daily basis.
Engages in a variety of requests to support employees and visitors to CPPIB
including: coordinating meeting room bookings coordinating meeting room Service requests;
courier/mail requests.
Assists with emergency procedures as required.
Complies with all policies guidelines & standards at all times.
Oversees the office in the absence of the Office Manager Facilities & Office
Services.
Should be Proficient in written and oral communication in English as well as local
dialect.
Support the office Manager in providing of necessary reports etc as required on
timely basis
All other duties as assigned.
Manage and coordinate housekeeping functions for the facility; analyze and plan
housekeeping programs and schedules ensuring proper distribution of assignments and
adequate manning supplies and equipment for subsequent performance of duties.
Train employees in proper housekeeping procedures and appropriate performance of
duties; analyze training needs and determine most effective course of action to address
deficiencies.
Evaluate and make recommendations concerning cleaning products and equipment.
Order and maintain sufficient inventory of housekeeping supplies and equipment.
Prepare periodic reports analysis and appropriate recommendations or conclusions.
Ensure Housekeeping personnel maintain uniform and personal hygiene standards.
Perform other related duties incidental to the work described herein.
