The role of an Operations Coordinator is crucial to reach this goal by ensuring the efficient functioning of the company across various operational domains. Purpose of the Position
This is a fulltime Operations Coordinator role with ReTree based in Madrid with a hybrid working strategy (remote and in office). This position will report to the Managing Director. The responsibilities of this role include overseeing various operational aspects of the company to ensure its smooth functioning. It requires wearing multiple hats and handling diverse tasks ranging from financial/accounting reporting and compliance to organizing plantations and supply chain operations. You will be the person coordinating our teams to ensure operational efficiency and to enable the growth of the business.
Key Responsibilities
Accounting Finance & Taxes:
Oversee daytoday administrative operations including invoicing and payments. Gathering all relevant info in terms of accounting to ensure accurate and timely recording of financial transactions.
Coordinate with external accountants auditors and tax consultants to ensure accurate and timely recording of financial transactions annual audits and tax filings.
Monitor financial performance against budgetary targets and provide regular reports to the Managing Team and Committee.
Under the lead of the Managing Team conduct financial analysis to identify areas for cost optimization and revenue enhancement.
Planting Operations & Events Planning:
Under the lead of the Managing Team helping to define operational processes roles and responsibilities.
Organize and coordinate all teams during plantations volunteering events and other gatherings. Manage permits with local institutions.
Manage inventory levels of plants CO2 and other materials to meet demand while minimizing carrying costs and stockouts.
Ensuring the information in our database is accurate in terms of number of trees species certificates and other specs.
Optimize supply chain processes to enhance efficiency and reduce lead times.
Liasing with the Ministry of Ecological Transition (MITECO):
Registering new plantations within MITECO.
Issuing MITECO certificates to clients.
Occasionally helping clients calculating their CO2 Footprint and accompanying them through the process of certification.
Compliance (GDPR and Occupational Hazard):
Under the lead of the Managing Team ensure compliance with GDPR regulations by implementing and maintaining appropriate data protection measures.
Develop and enforce occupational hazard policies and procedures to ensure a safe work environment.
Stay updated on regulatory changes related to data privacy occupational health and safety standards.
Requirements and competencies to work with us
Education
Bachelors degree in Business Administration & Law Finance Accounting Engineering or related field.
Strong sense of purpose. Sustainability or impact business background highly preferred.
Proven experience in a similar coordinating role as in operations or PM preferably in a startup environment.
Outstanding organizational communication and interpersonal skills.
Knowledge and Skills
Basic understanding of financial principles budgeting and financial analysis techniques.
Ability to multitask prioritize tasks and adapt to changing priorities.
Resourceful and with a problemsolving attitude.
Competencies
Familiar with the use of CRM and ERP systems.
Proficiency at MS Office suite.
Detail oriented and a high level of accuracy in reporting and data analysis.
