Assist the General Manager in complex administrative management services in support of the Public Safety branch and tribal operating procedures. The Administrative Specialist is responsible for developing intraoffice communication protocols organizing office operations and procedures streamlining administrative procedures and inventory control. The Administrator ensures top performance of the branch office staff (secretaries office assistance and administrative assistance) by providing adequate coaching mentoring training and guidance requiring meeting with office staff monthly. Provide orientation for all new employees or the branch provide technical assistance i.e. budget monitoring contracts purchase orders travel authorizations job descriptions etc. Create update and maintain internal personnel records financial records other records and databases within the branch. Manage phone calls and correspondence (email letters packages etc.) preparing payroll and directing visitors. Take minutes for monthly department heads meetings and other meetings when needed. Monitor and maintain office equipment; inventory supplies and order replacement supply as needed purchase computers printers supplies and other equipment. Manage relationships with vendors service providers ensuring that all items are invoiced and paid on time. Establish a historical reference for the branch by outlining procedures for protection retention record disposal and retrieval. Organize special functions. Coordinate building and maintenance issues for general repair and updates. Plan and oversee disaster and emergency procedures with GM Remain updated on technical and professional knowledge by attending education workshops. Maintain confidentiality.
Highly organized multitasker who works well in a fastpaced environment. Experienced in handling a wide range of administrative and executive support related tasks and able to work independently with little or no supervision. Well organized flexible and enjoy the administrative challenges of supporting a branch of diverse disciplines. Excellent organization and leadership skills. Knowledge of administrative management practices and procedures and basic accounting principles including budgets grants/contracts and payroll. Working knowledge of tribal organization and documents that govern the Public Safety Branch departments and related areas. Have strong written oral communication report writing and documentation skills. Proficient computer skills including Microsoft Office (Word PowerPoint and Excel) scheduling appointments/updating calendars on Goggle. Undertake and complete complex administrative assignments and special projects in a timely manner. Attention to detail and problemsolving skills. Use good independent judgment and initiative.
