Senior Purchase Executive – IT System Integration

IT Procurement

Handle end-to-end procurement of IT products based on approved BOMs quotations and project requirements.

Procure ( 5 minimum points match)

• Servers storage and backup solutions
  
• Switches routers and networking equipment
  
• Firewalls and network-security products
  
• CCTV and surveillance products
  
• Access-control systems
  
• Data-centre equipment and racks
  
• UPS and power-related IT infrastructure
  
• Structured cabling and accessories
  
• IT peripherals and consumables
  

Vendor Management

Develop and maintain relationships with OEMs authorized distributors dealers and channel partners.

Obtain multiple quotations and prepare commercial comparison statements.

Negotiate pricing discounts payment terms credit period freight and delivery schedules.

Verify vendor authorization product availability warranty and licensing requirements.

Identify alternate vendors for better pricing and availability.

Maintain updated vendor and price databases.

Project Procurement

Coordinate closely with Sales Presales Project Technical and Finance teams.

Understand project BOMs and ensure procurement matches the required make model specifications and quantity.

Check stock availability and lead times before placing orders

Ensure materials reach project/customer locations within agreed timelines.

Follow up continuously with vendors until complete delivery.

Handle partial deliveries shortages DOA/damaged products and replacement requirements.

Purchase Order & Documentation

Prepare and release Purchase Orders (POs) after receiving the required internal approvals.

Ensure PO terms accurately reflect agreed commercial and technical requirements.

Track PO status and maintain procurement records.

Coordinate with Finance for invoice verification and payment processing.

Maintain proper documentation for purchases warranties and licenses.

Required Skills

Strong knowledge of IT hardware networking cybersecurity and infrastructure products.

Good understanding of the IT distribution/channel market.

Strong vendor negotiation skills.

Excellent follow-up and coordination skills.

Good knowledge of MS Excel including VLOOKUP/XLOOKUP Pivot Tables and comparison sheets.

Experience with ERP / procurement software.

Ability to read and understand IT BOMs quotations and product specifications.

Strong commercial awareness and analytical skills.

Ability to manage multiple project requirements simultaneously.

Preferred OEM / Product Knowledge

Candidates with procurement experience involving brands such as Cisco HPE Dell Lenovo Fortinet Sophos Palo Alto Networks Microsoft Veeam APC/Schneider Hikvision Axis or equivalent IT/OEM products will be preferred.

Candidates whose experience is primarily in general procurement civil procurement manufacturing procurement or non-IT purchasing may not be suitable unless they also have strong IT procurement exposure.

Qualification

Bachelors degree in Commerce Business Administration Supply Chain Engineering IT or a related discipline.

A certification/course in Procurement Supply Chain or IT would be an advantage.

Ideal Candidate

The ideal candidate will be a hands-on IT procurement professional who understands both the commercial and technical side of system-integration purchases. They should be comfortable dealing with distributors and OEM partners negotiating project pricing comparing technical BOMs tracking deliveries and working under tight project deadlines.
