Job Summary

Key Responsibilities -

1. Executive Calendar & Schedule Management

Maintain and organize the Directors complex schedules prioritizing critical meetings internal reviews and client calls.

Manage end-to-end travel logistics (domestic and international) including flight bookings hotel accommodations visa processing transport and detailed daily itineraries.


2. Strategic Support & FMCG MIS Reporting

Collect analyze and synthesize operational performance data across distribution networks sales targets manufacturing KPIs and supply chain updates.

Prepare periodic Management Information System (MIS) reports dashboards operational reviews and board-level PowerPoint presentations.

Track project deliverables across cross-functional departments (Production Quality Control Procurement Trade Marketing) to ensure action items discussed in Director reviews are met within deadlines.


3. Communication & Stakeholder Liaison

Filter screen and route incoming queries emails and phone calls for the Directors with high discretion.

Draft professional correspondence official emails meeting minutes (MOM) and strategic memos on behalf of leadership.

Serve as a liaison between Directors and internal teams distributors manufacturing plant heads agency partners and legal authorities.


4. Administrative & Operational Governance

Organize board meetings executive strategy retreats vendor interactions and plant visits.

Process executive expense reports track budgets and manage key vendor approvals.

Maintain strict confidentiality around corporate strategy product launches pricing structures and financial metrics.

Requirements

andidate Requirements & Qualifications -

Education: Bachelors degree in Business Administration (BBA/BMS) Commerce () or related field. (An MBA or PGDM in Management is preferred).


Experience: 5 to 8 years of proven experience as an EA Executive Secretary or Operations Assistant directly supporting Directors CXOs or Founders.


Industry Background: Prior experience working in an FMCG Consumer Packaged Goods (CPG) or Manufacturing setup is strongly preferred.


Tech Proficiency:

Advanced command of MS Office (Advanced Excel PowerPoint Word).

Familiarity with ERP systems (e.g. SAP Tally) and Google Workspace.

Experience working with video conferencing and calendar tools (MS Outlook Zoom Teams).


Key Competencies & Soft Skills -

Communication: Flawless written and verbal English communication skills. (Fluency in Hindi/Marathi is a plus for operational coordination).

Problem-Solving & Agility: Strong ability to multitask prioritize high-urgency tasks and solve operational bottlenecks independently.

Discretion: High emotional intelligence integrity and absolute commitment to business confidentiality.

Analytical Mindset: Ability to handle raw business data and transform it into structured executive-ready insights.
