About The Opportunity

Due to continued growth Programmed is seeking two Project Administrators to join our Project Services team based in Burswood.

These roles will primarily support the delivery of works across the WA Housing contract playing a key part in maintaining and improving housing across the community. This is a meaningful portfolio focused on ensuring safe functional and well-maintained homes for residents where your work directly contributes to essential service delivery outcomes.

Working as part of a close-knit and collaborative team youll be supporting the day-to-day coordination and administration of multiple projects. This will include managing shared inboxes raising purchase orders and variations coordinating incoming quote requests and ensuring all documentation is accurately submitted to the relevant government departments. Youll also work closely with Project Coordinators to keep projects on track maintain project records and follow up on KPIs and deliverables.

This is a fast-paced environment suited to someone who enjoys being across multiple tasks taking ownership and playing a key role in keeping projects moving. There is also strong opportunity to build your capability in project coordination while gaining exposure to a broader range of government contracts over time including education (schools and TAFEs) justice portfolios (prisons and courts) and arts and cultural facilities.

Supporting project delivery your key responsibilities will include:

  • Provide day-to-day administrative support across project and contract activities
  • Assist with client reporting including analysis of work order and contract data
  • Manage shared mailboxes and respond to stakeholder queries
  • Support governance compliance and document control requirements
  • Maintain registers plans reports and other project documentation
  • Liaise with client contract administration and work order teams
  • Attend and contribute to internal and client meetings
  • Support continuous improvement safety and team culture initiatives

About you

To be successful in this role you will be a proactive and organised individual who thrives in a fast-paced environment and enjoys being across multiple tasks while keeping projects moving.

Additionally you will also possess:

  • Administration or project support experience (beneficial not essential)
  • Strong communication skills and a collaborative approach
  • Good organisation and time management skills
  • Confidence initiative and willingness to learn
  • A customer-first mindset with a focus on quality
  • Intermediate Microsoft Office skills (Outlook and Excel)
  • Experience managing inboxes reporting or using systems like MAS Loc8 or Navision (desirable)
