Job Summary

Your Position at St John of God Berwick Hospital

We are seeking a highly organised and proactive Practice Manager to join our team on a full-time this role you will be responsible for the effective management of a busy Obstetric and Gynaecology practice ensuring a seamless and professional experience for the consultant and patients.

Working 76 hours per fortnight between 8am and 6.30pm Monday to Saturday you will oversee the day-to-day operations of the practice manage the team (including rostering) and consultant requirements ensure the delivery of efficient administrative and operational support and build strong stakeholder relationships. This is an exciting opportunity for a motivated professional with strong organisational and communication skills to contribute to a dynamic healthcare environment.

The Position

  • Manage the day-to-day running of the practice and the appointment diary

  • Train and manage Receptionists

  • Reception functions

  • Triage referrals

  • Surgical bookings and billing; theatre lists

  • Book consulting rooms theatres surgical assistants and anaesthetists

  • Process and reconcile daily banking and payments

  • Follow up outstanding invoices and debtors

  • Develop and maintain practice policies and procedures

  • Always be courteous and friendly to customers- patients caregivers and doctors.

  • Promote a harmonious intra and inter departmental environment at all times.

  • Ensure positive respectful staff relationships are maintained and promoted.

  • Liaise in a courteous manner with all levels of caregivers internal and external customers and handle any queries and ensure they are responded to promptly or that the query is directed to the correct person for response.

You will have experience in surgical practice management or a senior surgical practice administration role with a strong understanding of medical terminology administrative processes and the ability to autonomously coordinate multiple priorities in a busy healthcare environment. You will possess excellent organisational and communication skills with a proven ability to provide high-level administrative support and build effective relationships with consultants and key stakeholders.

To succeed in this role you will demonstrate excellent attention to detail strong problem-solving skills and an aptitude to plan ahead and manage day-to-day operations alike with the ability to follow consultant instructions and respond professionally to changing priorities. Sound computer literacy is essential including proficiency in Microsoft Office applications and experience using Gentu or a similar practice management system.
