Join our Major Events and Visits team and play a pivotal role in driving the planning coordination and delivery of the universitys events. As our Officer Events youll provide administrative and logistical support to a diverse range of events from VIP visits public orations cultural festivals industry expos and faculty and partnership events. Youll engage with a wide range of stakeholders while making sure every detail runs seamlessly. Reporting to the Specialist Major Events and Visits the Officer Events will:

  • Assist in the planning and execution of university events by supporting the development of event materials including invitations agendas and running sheets.
  • Coordinate logistics for events including venue arrangements catering and transportation ensuring all elements are in place for successful execution.
  • Provide administrative support during events including assisting with on-the-ground operations and resolving any immediate issues that arise.
  • Maintain accurate event documentation track engagement activity and update event-related records.
  • Assist in liaising with internal and external stakeholders to ensure smooth event operations and the universitys brand is upheld.
  • Undertake corporate events data management within the Events Management database including reporting processes and procedures and identifying and tracking high level corporate events/engagement activity with external stakeholders.
  • Coordinate management of contractors and compliance via the Link Safe portal.
  • Provide administrational support for users across the University for the eventing platform Eventbrite (training provided).

To be successful youll have:

  • Completion of a Degree without subsequent relevant work experience; or
  • Completion of an Associate Diploma and at least two years subsequent relevant work experience; or
  • An equivalent combination of relevant experience and/or education/training in event management/public relations/marketing or a related field.
  • Proven experience performing administrative duties and event management.
  • Excellent written communication and documentation skills with high attention to detail
  • A proactive mindset with the ability to anticipate needs and solve problems on the go
  • Valid Victorian Drivers License and willingness to travel between Deakin campuses
  • Willingness and ability to undertake light manual handling tasks (e.g. lifting/carrying event materials)
