Job Summary
To be part of a dynamic team environment ensuring timely and accurate movement of freight and information while providing exceptional customer service. Responsibilities include coordinating with international agents and vendors tracking shipments managing invoicing and maintaining compliance with standard operating procedures.
KEY RESPONSIBILITIES:
- Collaborate within a dynamic team environment to ensure smooth and timely freight process flow
- Liaise with international agents carriers and vendors to coordinate transportation and ensure timely processing of shipments
- Coordinate with internal departments such as customer service cartage and accounting to facilitate the smooth handling of import shipments and resolve any operational issues
- Efficiently track and trace Ocean Import files utilising internal tools as well as external resources. Ensure accurate shipping details are consistently updated in the system
- Utilise workflow monitors and reporting to effectively oversee daily shipments
- Adhere to all customer standard operating procedures and promptly update any changes in Standard Operational Procedure under the guidance of the Supervisor/Manager
- Maintain effective overseas communications by ensuring timely responses to emails and requests in accordance with Expeditors communication standards
- Reconcile and arrange weekly payment of service provider invoices that are on account ensuring all received invoices are processed promptly to ensure uninterrupted flow of shipments
- Participate in team meetings training sessions and performance reviews to contribute to a collaborative and high-performing work environment
Qualifications :
- Experience in ocean freight or the freight forwarding industry would be preferred; we will also consider candidates with a strong administrative background and a willingness to learn
- Strong time management skills
- Organised and able to work to deadlines
- Ability to prioritise and manage multiple tasks at the same time
- Strong communication skills both written and verbal
- Ability to work independently while also contributing to the wider team
- Strong attention to detail and accuracy in processing shipping documentation ensuring compliance with regulations and minimising errors in data entry
- Commitment to providing exceptional customer service resolving inquiries or issues promptly and maintaining positive relationships with colleges clients and service providers
