We are seeking an organised and customer focused Meetings & Events Coordinator to join our Meetings & Events team. This role is responsible for coordinating meetings conferences functions and events from initial enquiry through to successful delivery ensuring every client receives exceptional service and a seamless event experience.
Reporting directly to the Meetings & Events Manager you will play a key role in delivering successful meetings conferences and events by coordinating every stage of the client journey from the initial enquiry through to post event follow up while working closely with operational teams to ensure a seamless guest experience.
About the RoleAs a Meetings & Events Coordinator you will manage the end to end coordination of conferences meetings and special events while working collaboratively with the Food & Beverage Kitchen Sales Reservations and Finance teams to deliver outstanding experiences for our clients.
What youll be doing- Managing enquiries and preparing timely accurate quotations proposals and event agreements
- Coordinating all aspects of meetings conferences weddings and special events from confirmation through to post event follow up
- Building strong relationships with clients and ensuring every event is delivered to a high standard
- Preparing Banquet Event Orders event schedules and function documentation for operational teams
- Liaising with internal departments suppliers and external contractors to ensure seamless event delivery
- Conducting client meetings and site inspections to showcase the hotels conference and event facilities
- Monitoring event timelines deposits payments and contractual requirements
- Following up with clients after events to gather feedback and identify future business opportunities
- Maintaining accurate event records databases and reporting
- Must have valid working rights in Australia
- Previous experience in meetings conferences events or hospitality is preferred
- Excellent organisational skills with the ability to manage multiple events simultaneously
- Outstanding customer service and relationship building skills
- Strong written and verbal communication skills
- High attention to detail and excellent time management
- Ability to work independently while collaborating effectively within a team
- Strong problem solving skills and the ability to remain calm under pressure
