Ruah Legal Services is a wholly owned subsidiary of Ruah specialising in the provision of end-to-end legal representation with integrated psycho-social support. Ruah Legal Services trades as the Mental Health Law Centre (MHLC) for the provision of legal services to clients experiencing severe mental illness. Key practice areas include the Mental Health Act Criminal Law Care and Protection and Guardianship and Administration Act matters. Ruah Legal Services also provides legal assistance to victim-survivors of sexual assault through the SALSWA project and to women experiencing family and domestic violence through Ruah Community Services programs.
About the Role
We are seeking a highly organised and compassionate Legal Administration Officer to join Ruah Legal Services.
This role provides essential administrative support to the legal team ensuring the smooth operation of the practice and contributing to positive outcomes for clients experiencing disadvantage and mental health challenges. The position supports the Telephone Advice Line manages legal correspondence facilitates referrals and assists with day-to-day practice administration.
You will work closely with lawyers community organisations and clients providing professional efficient and empathetic support while maintaining high standards of confidentiality and accuracy.
This is a full time role working 38 hours per week.
Key responsibilities include:
- Supporting the administration of the Telephone Advice Line
- Processing legal correspondence via email post and electronic submissions
- Drafting letters and legal documents for lawyer review
- Managing referrals to legal and community services
- Providing administrative support to legal practitioners
- Managing client enquiries and overflow calls
- Assisting with meetings travel arrangements and event coordination
- Maintaining accurate records and supporting practice management activities
What were looking for
It is expected that the successful applicant will be able to demonstrate the following:
Essential
- Experience working in a legal practice or Certificate IV in Legal Services (or equivalent)
- Strong administrative and organisational skills with excellent attention to detail
- Experience using practice management systems
- Advanced Microsoft Outlook and Word skills and intermediate Excel skills
- Excellent customer service and communication skills
- Ability to handle confidential information with professionalism and discretion
- Strong initiative and ability to work independently
- Empathetic and non-judgemental approach when working with vulnerable people and those experiencing mental health challenges
Desirable
- Experience using Actionstep
- Understanding of diversity inclusion and culturally safe practice
