About the role

DCC is looking for an IP Coordinator for its Trade MarkAdministrations Offices Team (AOT) to join its leading Trade MarkPractice. The IP Coordinator Trade Mark AOT is responsiblefor overseeing the day-to-day operations of the AOT Trade Mark team(team of 6) ensuring the timely accurate and efficient delivery oftrade mark records and filing and related support services. Therole provides leadership coaching and operational guidance to theteam while driving continuous improvement initiatives andsupports the implementation of process improvements leveragingautomation and change management activities. The positionplays a key role in enhancing service delivery operationalefficiency data integrity and client outcomes across DaviesCollison Caves Trade Mark practice in Australia New Zealand HongKong and Singapore.

Key Responsibilities

  • Provide day-to-day leadership guidance and support to the AOT Trade Marks team (team of 6).
  • Coordinate supervise and mentor team members fostering a collaborative and high-performing team culture.
  • Allocate and monitor workloads to ensure work is distributed effectively and critical deadlines are met.
  • Coordinate team leave coverage and resource allocation to maintain service delivery standards.
  • Oversee the management of Trade Mark Records and Trade Mark Filings workflows ensuring high levels of accuracy timeliness and service delivery.
  • Provide hands-on operational support across all Trade Mark Records and Filings functions as required.
  • Identify document and review existing processes and procedures.
  • Recommend and implement process improvements to enhance efficiency quality and client service outcomes.
  • Support the implementation of automation initiatives and new systems.
  • Deliver exceptional service to Principals Trade Mark Attorneys Operators internal stakeholders clients and partners.
  • Act as a key point of contact for operational Trade Mark process enquiries.
  • Undertake general administrative duties associated with the role including managing and processing incoming email correspondence across Australia Hong Kong and Singapore.

About You:

  • Experience working within a busy and dynamic Intellectual Property environment preferably Trade Marks.
  • Demonstrated experience coordinating operational workflows and administrative processing functions.
  • Previous exposure or interest in leading supervising and mentoring team members would be an advantage.
  • Experience managing high-volume records data or document management processes.
  • Exposure to process improvement automation or systems implementation projects.
  • Experience supporting organisational change initiatives desirable.
  • Demonstrated ability to build positive working relationships and contribute to a collaborative supportive and high-performing team environment.
  • Professional stakeholder management and customer service skills.
  • Adaptable and resilient in a changing environment.
  • Collaborative team player with a positive and proactive approach.
  • Microsoft Outlook Microsoft Word Microsoft Excel (intermediate level preferred).
