The Opportunity
Beam Health is seeking an experienced and engaging Intake Officer who thrives in a fast-paced supportive environment. Join our growing team in our beautiful Warners Bay Clinic and play a key role in connecting children young people adults and families with the services and support they need.
The Role
This exciting position is open to experienced part-time applicants who will work closely with the Intake Lead Clinicians and the broader Beam Health team. You will be responsible for:
- Assisting with the efficient and effective intake and introduction of new clients within Beam Health
- Providing clear and concise communication with clinicians about initial appointments
- Assisting with the effective coordination and maintenance of the waitlist for all services
- Making highly professional and effective referral and pre-appointment phone calls to clients families support people and professionals
- Assisting with and maintaining the referrals inbox
- Following up missing or incomplete referral information
- Writing and sending effective professional emails and letters to clients families support people and professionals
- Collecting and tracking new client intake paperwork and other client information and storing/entering it digitally
- Preparing Service Agreements Consent Forms and other initial appointment information in an accurate and timely manner
- Keeping thorough records using the client management system and SharePoint system
- General administration duties where required

The Requirements

- Exceptional customer service skills with a professional empathetic and caring approach.
- Experience in intake administration client services customer service or coordination roles.
- Strong communication and interpersonal skills with the ability to engage confidently with clients families referrers and clinicians.
- The ability to manage multiple priorities and thrive in a fast-paced high-volume environment.
- Excellent organisational skills and a high level of attention to detail.
- Experience maintaining accurate client records data entry and administrative processes.
- A commitment to delivering high-quality client-centred services and positive clientexperiences.
- The ability to maintain confidentiality and handle sensitive information with professionalism and discretion.
- Experience within an allied health healthcare disability or medical practice setting.
- Knowledge of the NDIS Medicare PHN or other health funding programs.
- Confidence using Microsoft Office and client or practice management software.
