About You
We are seeking a proactive Executive Assistant and Project Officer to support the ADVCE through high-level executiveassistancewith a strong focus on proactive problem solving and stakeholder management. The role delivers comprehensive executiveassistance including diary and inbox management preparation ofhigh-qualitycommunications and briefing materials for the ADVCE and coordination of meetingseventsand stakeholder engagements.
In addition this position provides targeted support to priority initiatives/events aligned to the universitys priorities. This includes assisting with the development and maintenance of key project schedules coordinating inputs and deliverables from multiple stakeholders and supporting project governance activities such as preparation of papersminutesand action tracking.
In this role you will bring strong initiative soundjudgementand a solutions-focused approach to supporting senior leaders and key initiatives. You will be highlyorganised collaborative and comfortable managing competing priorities with discretion and professionalism.
To be successful in this positionyoullhave:
Demonstrated experience providing high-level executive and office support with the ability to act with discretion and strict confidentiality.
Proven ability to work proactively and autonomously using initiative discretionaryjudgementand problem-solving skills to make sound decisions.
Highly developed written and verbal communication skills including the ability to draft correspondence and to liaise effectively with a wide range of internal and external stakeholders.
Demonstrated experience in diary and travel management meeting and event coordination and records and information management with strongorganisationalskills and attention to detail.
Experience supporting projects or initiatives including planning tracking actions and timelines andsynthesisinginformation from multiple sources to provide clear analysis and advice.
High levelof digital literacy includingproficiencyin Microsoft Office emailinternetand electronic document/records management systems.
Previousexperience in an Executive Assistant or Project role is highly desirable

The Education Portfolio is headed by the Deputy Vice-Chancellor Education and Vice President who leads the planning and implementation of the Universitys strategies related to RMITs academic programs and the RMIT student experience. The Portfoliois responsible forservices to support the quality of RMIT programs including the professional development of academic staff continuous improvement of the student experience learning and teaching outcomes and the management of learning and research information sources.
Under the leadership of the Associate Deputy Vice-Chancellor Education this central group provides coordinated operational support to the Centre for Education Innovation & Quality (CEIQ) the Generative AI Lab for Education (GAILE)and The Academy. The group delivers:
End-to-end program and project management for key education initiatives (scoping planning delivery riskmanagementand benefits realisation)
Integrated planning and governance to align activities withUniversity-wide education priorities
Strategic budgeting and resource prioritisation to maximise impact and value
Targeted communications and stakeholder engagement
People- and safety-focused support including oversight of OHS and broader risk consideration
Through these functions the central group enables each area to focus on its specialist remit while ensuring alignment withUniversity-wide priorities consistency in processes and efficient use of resources.
We partner and collaborate with RMIT Colleges/Schools and other portfolios to support staff across the University.
