We are seeking a dedicated Executive Assistant / Legal Assistant to join our team in Dandenong Victoria. This permanent full-time role is essential for providing administrative support to our legal department ensuring efficient operations and effective communication. Responsibilities:

Provide comprehensive administrative support to the legal team including managing schedules and coordinating meetings.

Prepare and organise legal documents correspondence and reports as required.

Assist in the management of case files and maintain accurate records.

Conduct research and gather information to support legal proceedings.

Liaise with clients external legal counsel and other stakeholders to facilitate communication.

Handle confidential information with discretion and professionalism.

Perform general office duties including filing data entry and maintaining office supplies.

Qualifications:

High school diploma or equivalent; further education in administration or legal studies is an advantage.

Entry-level experience in an administrative or legal support role is preferred.

Proficient in Microsoft Office Suite (Word Excel PowerPoint) and legal management software.

Strong organisational and time management skills with the ability to prioritise tasks effectively.

Excellent written and verbal communication skills.

Attention to detail and a high level of accuracy in work.

Ability to work independently and as part of a team.

We are seeking a highly organised and proactive Executive Assistant / Legal Assistant to support a Principal within a busy and growing legal practice based in Dandenong.

This is an excellent opportunity for someone with 12 years experience in a legal assistant executive assistant or administrative support role ideally within a law firm environment who thrives in a fast-paced setting and takes pride in delivering high-quality compliant work.

About the Role

You will provide day-to-day executive and administrative support to the Principal ensuring smooth operations across legal client and office functions.

Key Responsibilities

Diary and calendar management scheduling appointments and meetings

Drafting formatting and proofreading legal documents and correspondence

File management document control and maintaining accurate records

Client liaison and professional communication (phone email in person)

Assisting with compliance legal processes and administrative workflows

Coordinating tasks priorities and deadlines in a fast-paced environment

General office administration and support duties

Skills & Experience

Minimum 12 years experience as a Legal Assistant Executive Assistant Personal Assistant or Administrative Assistant

Previous law firm experience highly desirable

Strong attention to detail accuracy and organisational skills

Excellent written and verbal communication skills

Ability to manage multiple priorities and meet deadlines

High level of professionalism discretion and confidentiality

Strong understanding of compliance processes and quality standards

Proficient in Microsoft Office (Word Outlook Excel) and document management systems
