Reporting to the Head of WAAP you will be an integral member of a diverse dynamic and results driven leadership team. As Coordinator Administration / Executive Assistant to the Head of WAAP and leading the WAAP Administration team you will have key responsibilities which include execution of portfolio level administrative functions diary and time management for the Head of WAAP management of a team motivated professionals in line with the BHP Operating System (BOS) coordination of all documents and reports for review / approval coordination of Portfolio level improvement routines and activities management of all requirements for key meetings training and events.
Your work will drive performance and efficiency across WAAPs corporate administrative and operational routines supporting WAAPs performance and culture.
- All activities and responsibilities consistent with providing Coordinator/Executive Administration support for the Head of WAAP including
- Develop and execute key processes and administrative tasks (e.g. team calendars events vendor administration travel requests purchasing management etc.)
- Coordinate documents reports and inputs from the team to support the Head of WAAP in the timely review and approval of all key portfolio reports and approvals.
- Manage communications and messaging on behalf of the Head of WAAP.
- Develop and communicate insights supporting data driven action and decision making on key administrative and portfolio level tasks.
- Leadership of the WAAP Administration team and BOS routines and practices
- Drive team performance and capability development through coaching collaboration sharing of lessons learnt and providing on-time feedback.
- Independently organise and coordinate activities with the Administration team to support overall demands and the efficient delivery of work plans (e.g. meeting cadences operating rhythms team synchronisation communications and document reviews / workflows).
- Foster a culture of inclusion learning friendship positivity and productivity in line with BHPs charter values.
- Lead the Administration teams develoment planning and performance routines.
- Work collaboratively and effectively with Administrators across the wider team to ensure an aligned approach.
We are looking for a resilient and adaptable professionalwithexperience inteam leadershipexecutive-level administrationand stakeholder successful candidate willhave:
- Experienced people leader with demonstrable team management proficiency.
- Personal drive and initiative with a continuous improvement mindset.
- Strong emotional intelligence and personal integrity reflecting your proficiency managing confidential and sensitive matters with diplomacy.
- Strong written and verbal communication skills with an ability to manage and support development of key communications and messaging for the Lead Team.
- Familiarity with BOS or Shingo principles with strong problem-solving skills and a collaborative approach to finding practical solutions.
- Strong interpersonal skills and self-awareness allowing you to influence while also enabling you to build relationships and communicate effectively across multiple departments and senior management.
- Ability to manage competing priorities within tight timeframes and deadlines.
- Highly organised and proactive in your approach to prioritise a variety of complex tasks.
- Strong attention to detail ability to understand complexity and a track record of providing quality information to senior management.
- Highly developed and proven capability in Microsoft Office Suite and BHPs systems.
- Operational and/or Project experience is highly valued for this role.
