Butterfly Foundation is Australias national charity for eating disorders and body image issues providing a voice for those affected and the people who care for them. Eating disorders are severe and complex mental illnesses with physical complications and the medical psychological physical and social consequences can be long term and for many life threatening.

Butterfly advocates for improved services from government health and mental health organisations and the eating disorder sector raising awareness in the media and via community engagement. Butterfly runs Australias only national Eating Disorders Helpline seven days a week; evidence-based clinical treatment and support programs; and delivers prevention initiatives in schools and the community to combat negative body image issues.

About the Role

The Event Manager reports to Butterflys Head of Fundraising and works closely with teams across Fundraising and Communications & Engagement. The primary focus of this role is the end-to-end event management of all Butterfly events but predominantly Butterflys flagship event the Butterfly Trophies Lunch held annually in Melbourne. This includes leading the coordination of logistics timelines stakeholder engagement and on-the-day delivery to ensure a seamless high-quality event experience.

In addition the role leads smaller engagement events for the Philanthropy and Gifts in Wills teams as well as events for Wandi Nerida Butterflys residential treatment centre on the Sunshine Coast.

The Event Manager plays a critical role in delivering exceptional events maintaining strong stakeholder relationships and ensuring all event and fundraising activity is executed to a high standard.

The successful candidate will bring excellent interpersonal skills exceptional attention to detail and strong project management capability. This is a fast-paced dynamic role that requires a proactive organised and adaptable approach with the ability to prioritise and deliver across multiple event and fundraising initiatives.

Accountabilities and Responsibilities

Butterfly Trophies Lunch(Primary Focus Area)

  • Lead end-to-end delivery of the Butterfly Trophies Lunch ensuring an exceptional guest experience aligned to Butterflys brand and values
  • Act as principal point of accountability for the event aligning the Board Event Committee and leadership team and navigating competing priorities
  • Partner with the Board and Event Committee to drive sponsorship and prize outcomes owning pipeline asks and fulfilment
  • Build and steward relationships with sponsors prize donors and key supporters ensuring commitments are honoured and multi-year involvement encouraged
  • Oversee all event logistics suppliers run sheet guest management RSVPs seating and prize administration holding accountability for quality and risk
  • Own the event budget and financial performance providing reporting and forecasts to senior leadership
  • Collaborate with Communications & Engagement on marketing media and promotion to build profile and drive attendance
  • Lead and inspire the event-day volunteer team ensuring they are well briefed and confident
  • Drive post-event evaluation capturing learnings and shaping future Trophies Lunches

Engagement Event Support

  • Partner with the Philanthropy Manager Gifts in Wills Manager and Wandi Neridas Community Engagement Coordinator to scope and deliver a calendar of donor and supporter engagement events
  • Lead end-to-end coordination of each event including guest list invitations venue catering RSVPs collateral and run sheet
  • Tailor the look feel and content of each event to its purpose and audience
  • Manage event budgets in collaboration with the relevant lead
  • Capture guest insights and follow-up actions to support stewardship and CRM records
  • Deliver a consistent high-quality supporter experience across all Butterfly engagement events
