We are seeking a highly organised and professional Compliance and Administration Officer to join the Administration team in a part-time ongoing role. Starting salary from $81976 (BSS C4.1) pro rata per annum plus superannuation based on experience and qualifications.
About the Role
Reporting to the Director of Administration with a secondary reporting line to the Company Secretary and Risk Manager the Compliance and Administration Officer provides operational and administrative support across a broad range of compliance and school administration functions. The Compliance and Administration Officer supports a range of administrative duties including;
Support compliance and risk management activities including assurance programs and record management
Monitoring mandatory staff training compliance and following up outstanding compliance
Assisting with the implementation and maintenance of Child Safe Standards compliance
Managing visitor sign-in processes and verifying compliance documentation including Working with Childrens Checks
Managing accurate registers records and documentation
Compliance checks and HR systems data entry
Providing relief reception and general administrative support as required
General Human Resources Administration support including but not limited to preparing routine correspondence and maintenance of organised filing archiving and document control systems
Administering the Student Conveyance Allowance Program
Liasing with transport providers families and relevant stakeholders regarding student transport matters
Supporting finance-related administration tasks
Assisting with the continuous improvement of compliance and administrative systems
Taking minutes for OHS committee meeting
Key Selection Criteria
Qualifications/Licences
Current Working with Children Check (Employee)
National Criminal History Check (or willing to obtain)
First Aid Certificate (or willing to obtain)
Current Victorian Drivers Licence
Demonstrated Experience and Skills
Demonstrated experience in an administrative compliance governance or operational support role preferably within an education or similarly regulated environment.
Highly developed organisational and time management skills with the ability to manage competing priorities meet deadlines and maintain a high level of accuracy and attention to detail.
Strong administrative and computer skills including proficiency in Microsoft Office applications and confidence using digital systems databases and record management platforms.
Demonstrated ability to maintain confidentiality and exercise discretion sound judgement professionalism and diplomacy when handling sensitive information.
Strong interpersonal and communication skills with the ability to build positive working relationships and provide professional customer service to a broad range of internal and external stakeholders.
Ability to work both independently and collaboratively as part of a team within a dynamic multi-campus environment.
Demonstrated ability to interpret and follow policies procedures and compliance requirements.
Flexibility and willingness to work across multiple campuses as required.
Desirable:
Experience working within a school or educational environment.
Familiarity with Child Safe Standards Ministerial Orders and compliance obligations within Victorian Schools.
Experience using with school management systems compliance platforms or visitor management systems.
Understanding of compliance and risk management principles.
Experience supporting compliance audits training administration or regulatory reporting processes.
