Job Summary

Assistant Marketing & Events

We have a fantastic opportunity for an experienced Assistant Marketing & Eventsto join our Business Development team in Melbourne or Sydney.

Primary Duties and Responsibilities

  • Lead the coordination and delivery of client events webinars/seminars and functions working closely with Business Development
  • Managers and practice/sector teams. Responsibilities include preparation and distribution of invitations coordinating guest lists andRSVPs via the EDM system (Vuture) and managing the technical aspects of Zoom webinars.
  • Support the Business Development & Marketing team to prepare and deliver online content such as eAlerts event (webinar) invitations and content designed for social media.
  • Utilise marketing and business development technologies to support strategic initiatives including editing and updating the website generating and analysing reports from Interaction our Client Relationship Management (CRM) system.
  • Assist the lawyers and Business Development team to prepare and distribute written communications including formatting editing and proofreading various communication documents e.g. client newsletters announcements profiles template documents and presentations.
  • Play an integral role in promoting and maintaining the firms CRM system including generating reports updating contact and company details and supporting event and communication management.
  • Produce marketing materials including liaising with practice group and sector group leaders.
  • Write and maintain content and provide regular updates to the firms website internal newsletter and intranet.
  • Coordinate professional photoshoots for staff including scheduling sessions liaising with external photographers and managing the end-to-end process.
  • Willingness to travel to the firms Sydney office and other locations as required to support the delivery of client events and marketing activities.
  • Assist the team to produce regular client analysis reports and other marketing reports.
  • Conduct basic organisation and industry research.
  • Help to manage all merchandise levels including ordering and distribution.
  • Assist the Business Development team with the preparation of tender submissions when required.
  • Prepare materials and packs for events and sponsorships.
  • Provide general administrative support and assistance.
  • Communicate workload to team including notification of capacity to assist others.
  • Build and maintain relationships with internal stakeholders.
  • Deal with external clients in a professional polite and friendly manner.
  • Maintains cyber security at all times. Cultivate an awareness of security risks stay informed of latest cyber threats instil best cybersecurity practises and take practical steps to protect the firm and client from cyberattacks.
  • Assist with ad hoc duties as and when required.

  • Exposure to InDesign website content management systems EDM and CRM systems preferred.

Experience

  • Previous experience in administration marketing business development or a related discipline is desirable.
