Job Summary

The South West Aboriginal Medical Service (SWAMS) is an Aboriginal Community Controlled Health Service based in Bunbury which provides a variety of health services to Aboriginal people in the South West and the Great Southern region of Western Australia. SWAMS delivers a wide range of primary health and community programs and has a strong growth strategy through partnership opportunities and future community development.

The Assets team at SWAMS are looking for enthusiastic and dedicated Aboriginal community members to join the team for Fixed Term and Permanent Asset Officer roles in the Bunbury Office. Working alongside another Assets Officer and a Manager you will be given the opportunity to learn this role from experienced people. You will get exposure to a wide range of administrative services including but not limited to property management; contracting; procurement; vehicle management; and maintenance management.

Other key duties include but are not limited to:

Assets of SWAMS

  • Maintain and update the asset register.
  • Assist in the purchase transfer and disposal of assets.
  • Ensure all policies and procedures for asset acquisition and disposal are followed.
  • Assist in the coordination of regular servicing of assets if required.

Vehicles

  • Maintain vehicle files for each vehicle and maintain and update the vehicle register.
  • Assist in the maintenance of all vehicles including regular servicing tyres etc.
  • Assist in the purchase leasing transfer and disposal of all fleet vehicles.
  • Ensure all policies and procedures for vehicles are followed.
  • Ensure vehicles are being used in the correct manner as set out on the policies and procedures.
  • Assist in organising repairs and insurance claims on vehicles.

Procurement

  • Assist in the supply chain management process for all purchasing including administration clinical and operational requirements.
  • Assist the tender process for administration clinical and operational requirements.
  • Administration
  • Ensure all documents are filed and stored appropriately.
  • Assist in managing the IT service support and liaise with external IT to solves staff issues and ordering of equipment.

Property

  • Assist in the fit-out of new properties SWAMS acquires.
  • Negotiate with landlords and contractors to carry out property maintenance.
  • Ensure all property equipment is regularly serviced and maintained.

Professional responsibilities

  • Maintain the highest standards of professional conduct.
  • Participate in and contribute to the fulfilment of operational needs of the organisation as they participate in maintaining a safe working environment
  • Assist in maintenance and compliance to the highest level in Equal Employment Opportunity Work Health & Safety Code of Conduct Quality Improvement Performance Management and Confidentiality throughout the course of their duties
  • Comply with all SWAMS policies and procedures currently in practice or that may be introduced from time to time
  • Attend and participate in the professional development program and relevant external seminars and conferences as approved.

About you

This role does not require you to have experience in this particular field of Assets as training will be provided. You will be someone who is looking to develop a career and commit to learning from others. You will enjoy working with a team as there is a real community feel at SWAMS. This role is open for someone who is of Aboriginal or Torres Strait Islander descent.

Essential Criteria

  • Aboriginal or Torres Strait Islander descent under section 50D of the Equal Opportunity Act.
  • Experience in Office Administration
  • Experience in supply chain management of goods and services including procurement ofassets
  • Valid C class WA Drivers licence
  • High attention to detail and accuracy
  • Previous experience in inventory and asset management
  • Excellent organisational and planning skills with the ability to work with minimal supervision and to work to deadlines
  • Good written communication skills able to draft correspondence edit documents and write instructional information
  • Excellent interpersonal and verbal communication skills
  • Excellent working knowledge of Microsoft Office software packages including Word Excel and PowerPoint

Desirable Criteria

  • Experience in supply chain management of goods and services including procurement of assets.
  • Experience managing a fleet of vehicles including regular servicing and maintenance
