Position: APS6 Program Secretariat
Location: Canberra ACT (or ability to work a mix of onsite in Canberra and remote)
Start date: ASAP
Duration: Approx. 11 months with potential to extend
Pay rate: Rates negotiable dependent on skills and experience
Security requirements: Must be an Australian Citizen to be considered and hold a minimum Baseline security clearance.
Overview
Our Federal Government client is seeking an experienced APS6 Program Secretariat to provide high-quality governance and secretariat support within a large and complex transformation program.
Working closely with senior stakeholders you will coordinate governance activities support program reporting prepare meeting documentation maintain key program records and contribute to the successful delivery of program outcomes. This is an excellent opportunity for an organised and proactive professional with strong administration governance and stakeholder engagement skills.
Responsibilities
- Coordinate governance meetings including preparing agendas meeting papers and supporting documentation.
- Record accurate meeting minutes decisions and action items and monitor follow-up activities.
- Manage meeting logistics including scheduling stakeholder liaison and venue or online meeting arrangements.
- Maintain governance documentation registers calendars and program records.
- Contribute to program reporting document preparation and general administrative support.
- Assist with the development and maintenance of work schedules timelines and program documentation.
- Monitor and escalate program risks where appropriate.
- Support the Program Manager by providing regular updates on completed and upcoming activities.
- Build and maintain productive working relationships with internal and external stakeholders.
- Assist with onboarding activities and the development of program resources for new team members.
- Support the development of governance documentation including terms of reference operating procedures and conflict of interest registers.
- Provide administrative support to ensure governance processes are delivered efficiently and effectively.
Experience/requirements
- Demonstrated experience providing governance secretariat or program support within a complex environment.
- Excellent written and verbal communication skills with the ability to engage effectively with a wide range of stakeholders.
- Strong organisational skills with the ability to manage competing priorities and meet deadlines.
- High level of attention to detail and ability to produce accurate high-quality documentation.
- Experience preparing meeting papers agendas minutes and reports.
- Sound judgement and the ability to work independently while contributing effectively as part of a team.
- Proficiency in the Microsoft Office Suite.
- Experience using project management or collaboration tools is highly regarded.
- Relevant tertiary qualifications and previous government experience are desirable.
