Pay rate: APS4: $53.92 $57.48 per hour 12% super APS5: $59.46 $63.53 per hour 12% super
Security requirements: Must be an Australian Citizen with a minimum Negative Vetting 1 clearance at time of application
Overview
Our Federal Government client is seeking an experienced APS4/APS5 Executive Assistant to support a high-performing division within a trade and investment-focused portfolio.
This area plays a key role in advancing Australias global trade and investment interests supporting businesses to navigate international markets and contributing to the development and implementation of trade agreements and stakeholder engagement initiatives.
Working closely with senior executives you will provide high-level administrative and executive support contributing to the delivery of key priorities across the division. This role offers exposure to a fast-paced high-profile environment and the opportunity to engage with a wide range of internal and external stakeholders.
Responsibilities
APS4:
- Provide administrative and executive support to SES-level officers
- Manage diaries appointments and office coordination activities
- Support onboarding divisional events and general office management
- Maintain records and office systems using Microsoft Office and electronic record systems
- Organise domestic and international travel including itineraries visas and reconciliations
- Prepare and collate briefing materials and documentation
- Liaise with internal and external stakeholders to support business operations
- Work collaboratively across teams to ensure smooth divisional processes
APS5:
- Provide high-level executive support to multiple SES-level officers
- Manage email inboxes calendars appointments and briefing requests
- Coordinate and prepare meeting papers briefs minutes and correspondence
- Track actions and ensure tasks are completed within deadlines
- Prioritise workflows submissions and competing priorities providing recommendations where required
- Maintain records and systems using Microsoft Office and electronic record management systems
- Coordinate complex domestic and international travel arrangements
- Build strong working relationships across the department
- Provide limited backfill support to senior executive coordination functions
Experience/Requirements
- Previous experience in an Executive Assistant or high-level administrative support role (APS experience highly regarded)
- Strong organisational and time management skills with the ability to manage competing priorities
- Excellent written and verbal communication skills
- Demonstrated ability to exercise discretion judgement and professionalism
- Experience using Microsoft Office and electronic records management systems
- Ability to work both independently and collaboratively in a fast-paced environment
- High attention to detail and problem-solving capability
