Responsibilities
Inthisroleyouwillspendapproximately75%ofthetimeservingasthe rightarmtotheVPs keeping things organized doing project work acting as gatekeeper and always using strong judgment to filter external people seeking their time. Specifically you will be responsible for:

Trackingandmanagingexpensereports
Projectprep-work/research
Purchaseordergeneration
Coordinateinternalandexternalmeetings
Organiseandmaintaindiariesandmakeappointments
Arrangetravelvisasandaccommodation
Provideadminsupporttospecificprojectsandresearchteams
AssistwithOnboarding&Offboardingofemployees
Meetandgreetvisitorsatalllevelsofseniorityensuringguests(especiallycustomers)are comfortable and needs are taken care of at all times

Coordinatebusinessactivitieswithinthegroup
Respondtogeneralinquiriesandprovideinformationasneeded
Assistwithtravelarrangementsandprocessexpensereimbursementrequests
Organizemeetingresourcesandlogistics
Preparemeetingagendasandrecordmeetingminutes
Performadministrativedutiessuchasupdatingdatabasespreparingmaterialsformeetings preparing Board materials etc.
Qualifications
MinimumDiplomapreferablyinBusinessManagementAccountingCommunicationora related field
3yearsofrelatedadministrative/officeexperience
Aprofessionalandarticulatepresenceandcomfortinteractingwithseniorexecutives
ProficiencyinMicrosoftWordExcelPowerPointandOutlook
Experiencedevelopingpresentationsandmanagingspreadsheets
Strongwritingskillsincludingaccurategrammarspellingandpunctuation
Excellentcustomerserviceskills
Strongorganizationalandtime-managementskillswithstrictattentiontodetail
